    We are seeking a motivated Executive Support Specialist to join our team. This role is integral to providing operational and administrative support across the organization, particularly in supporting the CEO and the leadership team. You must be highly responsive, accurate, and willing to work collaboratively with a team. This role will require attention to detail and the ability to quickly prioritize across multiple tasks.

    ROLES AND RESPONSIBILITIES

    • Provide exceptional administrative support to the CEO and leadership team, ensuring efficiency and organization at the executive level.
    • Manage complex calendars and fluid schedules, proactively resolving any conflicts to maintain smooth operations.
    • Arrange detailed travel plans and accommodations; prepare and manage expense reports with accuracy.
    • Maximize the CEO's time by researching, reading, and analyzing information as needed, in advance.
    • Offer Board meeting support, including document management, minutes, and logistics.
    • Coordinate interviews for the Advisory, Executive, and Global Boards, ensuring a seamless process.
    • Handle clerical and administrative tasks, as assigned.
    • Order office supplies; plan and purchase employee recognition gifts.
    • Provide support to the finance department through AP/AR and month end closing tasks.
    • Assist the HR Manager in administrative tasks related to onboarding, offboarding, and record maintenance.
    • Plan and execute, in coordination with other team members, organizational events, such as holiday parties and staff retreats.
      • At least four years of experience in a C-Suite (or equivalent) level support role, preferably within a virtual setting.
      • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
      • Understanding of basic accounting principles and accounting software experience.
      • Effective and professional communication skills.
      • Capacity to think outside of the box with a sense of urgency.
      • Understanding of business acumen and the ability to identify priorities and make informed decisions when necessary.
      • Strong stakeholder management skills, with a focus on maintaining effective relationships and meeting the expectations of the CEO and leadership team.
      • Flexibility to work hours as needed by business demands for projects and meetings.
      • Discretion and professionalism in handling sensitive information.
      • Ability to thrive in a fast-paced and sometimes stressful environment.
