    Overview:

    As an Executive Business Partner on GV's Admin team, you are the heart of the firm's operations and culture. You anticipate the needs of the Partners you support and help them stay focused on GV's strategic agenda by managing both their administrative and operational needs. You adapt quickly, thrive in ambiguity, and are able to identify and solve complex operational issues. You are able to juggle multiple competing priorities and manage the fast-paced nature of your work while collaborating seamlessly with cross-functional stakeholders to ensure flawless and timely execution. In addition to strong project management skills and high attention to detail, you have sound business judgment and excellent written communication skills. You are a culture ambassador for GV. Set the example for the positive, productive and warm culture we want to have at GV by facilitating social interaction, teamwork, and open communication. Be the instigator of positive cultural contagion.

    In-office Requirements: This role requires a minimum of 3 days per week in GV's SF office.

    Job Responsibilities:
    • Perform administrative tasks with timeliness, composure and attention to detail, including: high volume calendar management, detailed and strategic time management for Partners, travel arrangements, tracking and filing important documents, note taking, expense reports, and hosting guests; Manage any personal commitments that overlap with work.
    • Establish exemplary trust with Senior Leaders and Partners; make decisions on behalf of Partners using excellent judgment and discretion when evaluating complex circumstances.
    • Be a team player and flex to support other Partners, teams and initiatives at GV, pitching in on projects or events, and covering for other GV Admins, as needed.
    • Be a champion and role model of GV's culture by helping to develop and cultivate excitement, positivity and productivity at GV. Engage with the broader team to foster and develop our positive culture.
    • Plan, manage, and execute team offsites, celebrations, events and activities, including the management of event budgets.
    • Liaise with external partners, companies, and guests on behalf of your Partner for scheduling of engagements, appointments, and any special requests or escalations.
    • Provide support for portfolio companies which includes developing relationships with founders and CEOs, scheduling board meetings, hosting portfolio events, and providing limited CEO support for early stage startups who do not have admin support yet.
    • Assist with office management tasks such as space planning, office interior design, and move coordination.
    • Actively participate in the hiring process for open roles on the Admin team, including: candidate sourcing, managing interview processes, developing retention strategies, management of recruiting agencies, and the onboarding and mentorship of new team members.
    • Set an example of integrity, leadership, and work ethic.
    • Expert understanding of GV's policies and procedures.
    Minimum Requirements:
    • 5+ years of administrative support experience, with 3+ years of direct executive support.
    • Ability to keep complete confidentiality and show impeccable discretion.
    • Ability to quickly learn new processes, tools and technologies.
    • Experienced with calendar management, high-volume travel scheduling and booking, and event planning.
    • Exceptional written and verbal communication skills, always matching communication style to the specifics of the setting, situation, and audience.
    Preferred Requirements:
    • BA/BS degree.
    • Proven ability to prioritize and manage multiple work streams at once, without sacrificing impact, quality of work or timeliness; Respond on tight deadlines, against changing requirements and last minute requests with ease; be readily available to ensure expedited response times.
    • Ability to anticipate the needs of those you support, creating a smooth day-to-day flow and enabling them to scale their time and impact.
    • Ability to independently lead projects and planning events, with little direction, from conception to completion while managing up and/or across teams.
    • Excellent interpersonal skills; proven ability to take initiative and build strong, productive relationships.
    • Effective organizational skills with ability to identify and improve existing processes with more efficient and effective practices and operational strategies.
    • Familiarity with or experience working for a VC or startup is a plus.
    Our estimated base pay range for this role is $135,000-145,000. Base salary is determined by a variety of factors including but not limited to market data, location, internal equity, domain knowledge, experiences and skills.
