- Provide administrative and clerical support as directed by Office of the CEO ("OCEO") executives.
- Assist management with schedule management in Outlook and calls from both internal and external sources.
- Coordinate onsite and/or off-site event and hotel arrangements and facilitate meeting arrangements.
- Schedule travel, process expense reports in Concur, and maintain the attendance calendar.
- Generate correspondence for OCEO executives, including word processing/typing of letters, memos, forms, and the preparation of agendas, labels, table tents, and meeting summaries.
- Greet visitors by phone or in person with exceptional customer service and a positive first impression while providing appropriate directions.
- Complete complex copier and binding projects.
- Manage incoming mail and the inventory of office supplies.
- A minimum of four years' experience in an administrative role with prior experience supporting VP-level and C-Suite executives.
- Exceptional customer service skills; professional and friendly disposition.
- Ability to multi-task paired with strong time management skills to meet deadlines.
- Technology savvy with a proficiency with Outlook, Excel, Word, PowerPoint, and Concur/ travel and expense portals.
- Trustworthy and able to handle sensitive information and situations with utmost discretion.
- Experience with onsite and/or off-site event planning and meeting management.
- Excellent organizational skills and the ability to prioritize workload, strong focus on accuracy, attention to detail, and consistency.
- Ability to be flexible in setting priorities and responding to daily workload changes.
- Must be a self-starter who completes work in a thorough manner, works independently with minimal supervision and guidance.
- Demonstrates initiative for additional projects and tasks that are identified by management.
- Excellent written and oral communication skills, including ability to interact with people at all levels within and outside of the organization.
- Strong communication skills on multiple platforms.
- Ability to effectively and professionally present information to management.
