- Patient Experience Management:
- Conduct welcome calls and confirm appointments to enhance patient satisfaction.
- Oversee the reception area to ensure efficient operations and a pleasant arrival experience for patients.
- Manage consultation conversations and ensure patient agreements and documentation are up-to-date.
- Team and Office Management:
- Direct and supervise office staff, fostering a positive work environment aligned with our core values.
- Manage efficient opening and closing procedures.
- Manage labor budgets and approve overtime as necessary in coordination with the Regional Practice Manager.
- Conduct regular team meetings and coaching sessions to reinforce office culture and address performance issues.
- Strive to foster and contribute positively to a patient-first, team-based culture.
- Implement and train staff on new office policies and procedures.
- Ensure the office complies with all healthcare laws and regulations.
- Provide high-level administrative assistance to providers, reflecting a detailed and organized approach.
- Scheduling and Logistics:
- Maintain and audit the patient schedule to ensure optimal flow and minimize gaps; proactively fill cancellations to maintain efficiency.
- Prepare team schedules two weeks in advance, ensuring they align with budget considerations.
- Lead daily morning huddles to discuss the previous day's outcomes, wait times, opportunities for improvement, and patient-related issues.
- Inventory and Administrative Duties:
- Conduct inventory reconciliation and ordering based on forecasted needs to ensure necessary supplies are always available.
- Manage and audit patient scheduling practices to avoid overbooking and ensure adherence to planned schedules.
- Bi-lingual (Spanish) preferred.
- Proven experience as an Office Manager, Practice Manager, or similar role, preferably in a healthcare setting.
- Proficient in MS Office, with working knowledge of healthcare management systems, Microsoft Suite, and Google Suite products.
- Strong leadership skills with a proven ability to manage and inspire a team.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple tasks and remain calm under pressure.
- Strong communication skills and a patient-oriented approach.
- Knowledge of administrative and clerical procedures.
- Experience with budget management and scheduling.
- Ability to present information and make recommendations effectively in oral and written form.
- Bachelor's degree in business administration, healthcare management, or a related field is preferred.
