About the Role
We are seeking a reliable and energetic Assistant Office Manager to join our team. The Assistant Office Manager plays a pivotal role in ensuring the smooth operation of our clinical environment.

This position is responsible for managing the floor, facilitating efficient transitions from the lobby to the examination rooms, and supporting the Office Manager in various operational duties.

We are looking for a devoted individual who thrives in a fast-paced medical setting and is committed to providing exceptional service to both our patients and staff.


Responsibilities:

Floor Management: Actively manage the clinic floor to ensure a seamless flow of operations from the lobby to the examination rooms.

Communication Coordination: Inform technicians and providers of their assigned rooms and upcoming schedules.

Operational Support: Assist the Office Manager with various tasks, including but not limited to patient welcome calls, conversion conversations, inventory management, and scheduling.

Chart Audits: Perform regular audits of patient charts to ensure accuracy and compliance with healthcare regulations.

Patient Schedule Auditing: Regularly review and audit patient schedules to maximize efficiency and patient satisfaction.

Quality Assurance: Oversee the quality assurance of clinical notes to ensure they meet the required standards and are accurately documented.


Qualifications:


  • Proven experience in an administrative or assistant role within a healthcare setting.
  • Proficient in MS Office, with working knowledge of healthcare management systems, Microsoft Suite, and Google Suite products.
  • Strong organizational skills with the ability to multitask and manage multiple priorities.
  • Excellent communication skills and a patientoriented approach.
  • Ability to work effectively with a diverse team.
  • Detailoriented with a strong focus on accuracy and efficiency.
  • Basic knowledge of medical terminology and healthcare operations.
