General Job InformationJob Summary
The Office of the State Superintendent of Education (OSSE) is the State Education Agency for the District of Columbia charged with raising the quality of education for all DC residents.
Department of Education and works closely with the District's 470+ early childhood facilities, 250+ schools, 60+ local education agencies (including DCPS and charter organizations), and community-based organizations to provide critical programming and resources to our stakeholders.
This position is located in the Office of the State Superintendent of Education and reports directly to the Assistant Superintendent in the Division of Teaching and Learning.
The incumbent serves as Executive Assistant and acts as assistant liaison in the accomplishment of selected assignments, including special projects and programs, such as planning and executing annual events celebrating exemplary District of Columbia educators.
Duties and ResponsibilitiesThe Executive Assistant will:
Manage all aspects of scheduling for the Assistant Superintendent. Receives, reviews, and responds to scheduling requests on behalf of the Assistant Superintendent. Greets and escorts clients and stakeholders on behalf of the Assistant Superintendent.
The incumbent shall be prepared to greet and speak with clients and stakeholders who have meetings with the Superintendent and those who visit the office without an appointment.
Receives phone calls and retrieves voicemail on behalf of the Assistant Superintendent and forwards questions and requests for information to staff as appropriate.
Receives correspondence on behalf of the Assistant Superintendent and forwards information to staff as appropriate.Reviews documents prepared for the Assistant Superintendent's signature to ensure that materials are grammatically accurate and that all supporting documents are provided; recommends editorial changes to staff.
Works to ensure that the practices and procedures used by staff are consistent with those of the agency.Additionally, the Executive Assistant will:
Coordinate all aspects of travel to and from meetings, and travel requests related to conferences, trainings, etc. on behalf of the Assistant Superintendent. Manages and processes reimbursement requests on behalf of the Assistant Superintendent.
Develops and maintains office systems and procedures, ensuring that the accuracy, timeliness, and feasibility of a variety of administrative support functions are carried out appropriately.
Manages and maintains an organized filing system on behalf of the Assistant Superintendent.Assists the Assistant Superintendent in coordinating and monitoring practices and procedures utilized by the support staff to ensure compliance with all applicable regulations and procedures.
Responds to written inquiries and administrative problems brought to supervisor by members of the immediate staff. Performs a wide range of routine and complex tasks that are critical to the mission of the agency. Completes administrative and support tasks generated by the Assistant Superintendent. Types and prepares a variety of correspondence from brief oral and written instructions, utilizing office automation equipment.Supports the Assistant Superintendent and the Division of Teaching and Learning in planning, organizing, and hosting annual events celebrating exemplary DC educators.
Qualifications and Education
Applicants must possess at least one (1) year of specialized experience equivalent to the next lower grade level in the normal line of progression.
Specialized experience is experience that has equipped the applicant with the knowledge, skills, and abilities to successfully perform the duties of the position, and that is typically in or related to the position to be filled.
Examples of specialized experience include:

Duration of Appointment:
This is an Education Service (ES), "At-Will" Appointment.
All positions and appointments in the Education Service serve at the pleasure of the appointing authority and may be terminated at any time with or without cause.

Residency Preference:
Applicants claiming "Residency Preference" will be required to maintain residency in the District of Columbia for a minimum of seven (7) years.
