    Summary:


    FAAC Incorporated is looking for a results-driven Administrative Assistant/Receptionist to provide a first point of contact for the organization by answering the telephones, greeting visitors and being a support person for the building location and those onsite.

    The ideal admin receptionist will provide general support to the organization by preforming routine clerical work, such as typing, scheduling, photocopying, scanning, binding, faxing, mail processing and ordering supplies.

    This candidate will be the face of the organization and must be professional and prompt at all times.


    Responsibilities & Duties


    • Must be punctual each day and have a high degree of detail
    • Must be able to use a multi-line telephone console and be proficient in understanding and communicating in the English language
    • Must have excellent communication and interpersonal skills in order to interact with visitors and employees
    • Analytical skills are needed to screen visitors and telephone calls
    • Must exhibit a professional attitude illustrated by a) appropriate dress for first point of contact with clients and visitors; and b) consistently responding in a pleasant and professional manner to telephone and in-person inquiries
    • Must exhibit professional and cooperative attitude when assisting employees with requests for clerical support
    • Must exhibit a professional and cooperative attitude when interacting with potential and current customers
    • Must be capable and committed to providing excellent internal and external customer support
    • Must be a team player
    • Must possess the ability to recognize and maintain confidentiality of work
    • Must be able to follow written and/or verbal direction
    • Must be able to work independently once direction has been given
    • Good organizational skills are essential in order to prioritize multiple tasks
    • Must possess the ability to stay focused under the pressure generated by multiple phone lines, visitors, interruptions and changing priorities
    • Must have basic math skills
    • Must be able to accurately balance company credit card reconciliation on an ongoing basis
    • Must be able to distinguish print on paper and computer screens and efficiently access, input, update and retrieve information from the computer
    • Assist HR Manager in recruiting, job postings, schedule job interviews
    • Assist with updating job descriptions
    • Coordinate orientation and training sessions for new employees
    • Other duties as assigned by management
    Requirements


    Minimum Requirements:


    • Must be proficient in Outlook/Windows/Excel/PowerPoint
    • High school diploma or equivalent required

    Qualifications & Skills


    • Excellent Verbal communication skills
    • Excellent interpersonal and customer service skills
    • Basic understanding of administrative and clerical procedures and systems
    • Prior Admin-receptionist experience required

    Physical Requirements:



    • While performing the duties of this job, the employee is regularly required to sit for extended periods; talk, hear, and use hands and fingers to operate a computer, telephone and keyboard
    • Specific vision abilities required by this job include close vision requirements due to computer work
    • Regular, predictable attendance is required; including some off-peak hours as business demands dictate.
    • Moderate Noise (i.e.e business office with computers, phone and printers, light traffic).
    • Ability to sit for extended periods of time at a desk/ office setting.
