From routine eye exams and optical retail, to medical optometry, ophthalmology, and surgical procedures, our patients experience end-to-end personalized care and service.

    Requirements

    The Front Office Coordinator Lead is responsible for managing the workflow of this small Optometry Office. This includes working with appropriate resources and the physician to ensure patient schedule reflects patient needs and physician's availability. Coordinating staffing resources, and/or filling in at either the Front Office and/or Optical Technician role when necessary. Facilitating orientation and training of specific location work processes and workflow for resources assigned to location.

    Essential Functions and Responsibilities:

    • Troubleshoot complex patient scenarios
    • Monitor patient schedule: templating, no-shows, reschedules, etc.
    • Ensure patient referral process is maintained in a timely manner
    • Ensure all patient and doctor record requests are accurate and handled in a timely manner
    • Working with appropriate resources to create employee schedule to ensure sufficient staff is present each day
    • Make sure all daily collections are accurate and accounted for
    • Relay all pertinent policy changes and protocols to the team and monitor that new and current protocols are being followed
    • Assist in all essential functions of the front office staff when needed
    • Work closely with other supervisory staff to maintain patient satisfaction and smooth workflow
    Supervisory Responsibility:
    • Position reports to Practice Manager
    • Provides lead / support to front office coordinators onsite
    Travel:

    Some travel may occasionally be required to fill in or train at practice locations

    Qualifications:
    • 1 or more years of managerial experience in a medical office setting
    • 2 - 3 years of clerical/reception experience in a medical office setting
    • EMR Experience
    • Ability to type 40 to 50 WPM
    Skills and Abilities:
    • Proficiency with standard office software applications (Outlook, Microsoft Office )
    • Detail oriented with superior organizational skills
    • Ability to multi-task and work across the organization
    • Excellent communication and interpersonal skills
    • Good at coordinating with others to meet collective goals
