GENERAL SUMMARY:
The Business Administrator provides quality support, a variety of patient care, and effectively coordinates front desk day-to-day operations.

The Business Administrator position plays a critical role in efficiently coordination administrative tasks in our dental practice to ensure the most organized, professional dental service is provided.


This position requires a team player with all Community Dental Clinic staff, coordinate schedules to meet daily dentistry goals and build trusting relationships with patients.

In addition, the Business Administrator will enhance patient experience by ensuring excellent office phone service, clear communication, and efficient time management.

Must be highly self-motivated, able to work independently and multi-task efficiently.

The Front must be able to communicate effectively and be a strong, supportive team player with an excellent work ethic.


DUTIES AND RESPONSIBILITIES:

  • Greet all guests in a warm and friendly manner
  • Coordinate dayto day operations
  • Answer incoming phone calls
  • Be able to answer basic questions regarding the Community Dental Clinic (Information provided)
  • Schedule new patients, create new patient charts in Dentrix
  • Remind and confirm patient appointments
  • Communicate effectively with volunteers, staff, and partners
  • Maintain neat reception room, entryway, and business office
  • Scan necessary paperwork into Dentrix: new patient information, lab cases, health history, VHCPP forms, referrals
  • Communicate with Laboratory services for picking up cases and scheduling return cases
  • Make post care oral surgery packs
  • Miscellaneous copying, faxing, and scanning
  • Assist Lead Business Administrator, Office Manager and Executive Director in remedial tasks
  • Follow guidelines as stated under Sovereign Immunity for the Department of Health
  • Maintain office supplies and storage area
  • Make followup appointments as needed
  • Prepare financial treatment plans and present to patients as needed
  • Communicate with offsite volunteers for appropriate referrals
  • Scan, send, and track medical clearances as needed
  • Scan lab slips into Dentrix

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Excellent Computer skills (Microsoft Office, Excel, Internet Searches, etc)
  • Good organizational skills and Customer Service skills
  • Team Player
  • Must be comfortable working with individual of varying backgrounds
  • Moderate dental knowledge
  • Knowledge of Dentrix software or similar Dental Database
  • Excellent phone skills

EXPERIENCE, QUALIFICATIONS:

  • 1 year administration experience preferred
  • High School diploma from an accredited school
  • Proficient in Microsoft Office Suite with heavy emphasis on Excel and Power Point

Training:

  • All CDC training required (provided)
  • Bio
- waste training provided by the CDC

  • Complete the Florida Department of Children and Families Health Insurance Portability and Accountability Act (HIPAA) Training Certification

TIME COMMITMENT:

  • Work a 78hour day shifts Monday to Friday
  • After Hours events as needed

WORKING CONDITIONS:

  • Sitting, standing, walking, bending, reaching, stooping and climbing is required
  • Ability to lift up to 30 pounds with ease
  • The physical environment requires the employee to work both inside and outside in heat, wet/humid, dry/arid conditions
  • Walking and standing on uneven surfaces around campus
  • Must have a valid, clean driving record in order to fulfill company travel requirements

All cleaning products provided to staff, hand sanitizer stations, mask must be worn when treating patients, special air filters installed and PPE provider.
