The Front Desk Receptionist will support an office of 300+ employees. As our Front Desk Receptionist, you will be the first impression that our visitors receive of the company, setting an important tone for how the rest of their visit to our office will go. You will also have the chance to build relationships across the company as you seek to aid and assist them in whatever is needed to ensure day-to-day office operations run smoothly. We are seeking a motivated, reliable and enthusiastic individual who has excellent customer service skills, strong communication abilities, excellent organization skills, and professional presentation.
The Front Desk Receptionist role provides basic receptionist and administrative support for the Dallas office. This role has set hours of 7:30am 4:30 pm Monday through Friday and reports into the HR team.
+ Warmly greet job candidates, vendors, partners, clients, and prospective clients as they enter the building and facilitate a smooth and timely transfer/hand-off to relevant departments
+ Monitor the physical entry to the office area during open office hours
+ Answer inbound phone calls and transfer calls with pertinent information to appropriate parties
+ Work closely with the recruiting team to ensure job candidates have the best possible experience
+ Assist with special projects and events on an as-needed basis
+ Assist in planning internal and external office events, lunches, and functions
+ Assist with facility maintenance and general upkeep
+ Oversee office calendaring and guest office reservations for the Dallas location
+ Schedule meetings and calls in Outlook as needed
+ Provide visitor management support: welcome board/tv, visitor badges, parking validation, assistance with departmental lunches
+ Mail distribution and coordinating daily pickups with shipments and deliveries
+ Providing administrative support to executive assistants as needed
+ Ensure complete confidentiality of employee and business information
**Experience/ Skills:**
+ Associate degree or equivalent preferred
+ Prior front desk experience, especially answering phones, is preferred.
+ Understanding of Microsoft Office (Outlook, Word, Excel, PowerPoint)
+ Excellent interpersonal communication skills
+ Team player who is flexible, adaptable, and an independent self-starter
+ Work in and contribute to a positive team environment
+ Manage multiple tasks simultaneously, and quickly adapt to changes in work assignments
+ Proactively address issues and anticipate the need for information
+ Provide excellent customer service
+ Demonstrate a proactive approach to problem-solving
