- General clerical and administrative duties including letter drafting, filing, photocopying, faxing, handling phones, managing calendars, scheduling, expenses, and office management.
- Greet clients upon their arrival, making sure they are comfortable, and their needs are met.
- Direct clients to their location in the facility when they arrive.
- Answers telephones and directs the caller to the appropriate associate. Transfer a caller to an associate's voice mailbox when the associate is unavailable.
- Provide callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.
- Assist with scheduling meetings as necessary -- scheduling, preparing materials, etc.
- Ad hoc responsibilities including client services and special projects for the department as needed.
- Keep phone lists and other company data up-to-date in database.
- Mail distribution: Coordinates the pick-up and delivery of all mail services (FedEx, UPS, etc.) daily pickup and distribution of mail, including interoffice mail.
- Receive, store, and deliver packages to clients.
- Assist in the ordering, receiving, stocking and distribution of office supplies. Ensure office supplies are stocked and ordered on a regular basis; Conduct a weekly office supply inventory.
- Communicate necessary information to the Bookings team before the close of a shift.
- All other duties as assigned.
- Minimum 2+ years of administrative/ event coordination / receptionist experience.
- Experience with executive desks/agency (rolling calls, heavy calendars, etc.) preferred.
- Ability to work well under pressure; meet tight deadlines; manage multiple projects and expectations; and maintain a sharp focus while managing competing priorities.
- Attention to detail and strong organization skills.
- Strong interpersonal skills, while understanding the importance of maintaining confidentiality.
- Strong command of the Microsoft Office.
- Adept at quickly learning new processes and technology.
- Passionate about providing legendary service to each and every client.
- Must be well organized, detail oriented, and think logically and methodically when problem solving.
- Clearly communicate with clients and team members
- Requires a wide range of constant physical activities, including but not limited to: standing, walking, and sitting.
- Frequent repetitive movements.
- Requires close, distance, peripheral vision and depth perception.
