    Description


    Being a Client Service Representative (CSR) in a veterinary office takes a special kind of person whois abletodeal with both humans and animals alike.

    As a CSR your primary responsibility is to beefficient inany and allfront desk operations.

    A CSR is the clients first and last impression of MuddyCreek AnimalHospital and it is important that all clients feel welcome,safeand comfortable.

    CSRs are invaluable members of our hospital team, and we treat them that way.

    Essential Functions and Responsibilities:


    Deliver exceptional customer service to pet owners in a polite andtimelymanner, both inperson and over the phoneRespond with compassion and empathy in stressful and emotionalsituationsSchedule and confirm appointments, record keeping and organization, provide estimates and invoices for paymentHandle incoming phone calls, emails, and messages anddeterminethe immediacyof careneededReceive, send, and respond to emails, messages, faxes, and other online requestsfor products, prescriptions, or to answerquestionsCommunicate visit expectations to clients,maintainawareness of the front lobby andassistowners with pet management to minimize unsafe situations and clientsstressManage real and perceived emergency situations to maximize client service and minimizescheduledisruptionMaintain a clean,stockedand orderly lobby and front officeareaEducate clients on wellness plans, food and products sold in waitingroomPerform opening and closing procedures, end of day reports anddepositsHandle cash, check, credit card, and debit transactions, appropriately document financialtransactions in the Practice Management SystemMonitor and actively manage appointment schedules.

    Perform confirmationreminders, monitorno show and late appointments and cancelations and communicate withclientsregardingpolicies on bothData Entry:
    collect patient history records and upload to current patient file,medical records, client questionnaires, referral information, etc.

    DistributemailEnsure that referral letters and lab results go to the correspondingveterinariansAdmit patients:

    ensuring that the patient is weighed and all information is currentSkills and Qualifications:High School Diploma or GEDrequired1-3 years experience in veterinary practice (or human medical practice)preferredExperience withAvimarkpractice management softwarepreferredComputer experience with Microsoft Office suite products andproficiencyrequiredinfront deskequipment (such as, fax machine, credit card machine, copy machine, andpostage meter)Mustpossessbasic math skills todetermineproper deposits, make change, andprocess paymentsutilizingcredit card and checkterminalThere must be a general understanding of veterinary terminology,situational understandingand being able to successfully communicate these situations withclients andveterinary team.

    Able to phone and waiting room triage todeterminethe difference between anemergency anda routine officevisitExcellent communication skills with clients and team membersProficient time management, ability to problem solve, learn, and handle multipletasksEnthusiastic team player with a patient, and positive professional attitude.
