    Job DescriptionThe
    Executive Assistant assists in the support of strategic planning and plays an active behind-the-scenes role in supporting agency business including board and development administrative efforts. The
    Executive Assistant provides administrative support to the President & CEO, senior management, development team, and Board of Directors.


    Minimum Qualifications

    • High School Diploma or GED
    • Bachelor's Degree in Business Administration, Business Management or related field preferred
    • 5 years of customer service experience
    • 5 years of experience working in the nonprofit sector
    • 2 years of office management or assistant related experience
    • Knowledge of MS Office Programs
    • Valid Texas Driver License
    • Bilingual in English and Spanish preferred

    Typical Duties

    • Provides administrative support to the President & CEO and additionally supports senior management and development team as needed.
    • Manages and engages the Board of Directors including serving as a liaison for the Board of Directors for all board activity, including Board Committees.
    • Performs all activities for the monthly board meetings including sending monthly emails to members and City of San Antonio, attendance tracks, orders food, sets up room, takes meeting minutes, etc.
    • Collects all data for Board Yearly Contribution Form on an ongoing basis and sends to each board member.
    • Researches and works with the Development team to create speaking engagements, interviews, and projects in which the CEO is especially interested and/or for which the awareness and involvement is essential to the organization's success.
    • Coordinates projects or commitments directly involving the CEO and their direct reports.
    • Drafts communication on behalf of the CEO and/or research in support of these and follows up with correspondence for internal and external meetings, as directed by the CEO.
    • Creates an inventory of upcoming communication events including, but not limited to: articles, columns, speeches and panel discussions.
    • Creates and maintains a relationship mapping of the CEO's and the Agency's key external relationships and their respective interconnectivity.
    • Represents the CEO in outside forums that the CEO cannot attend; may involve accompanying a company Executive to the meeting.
    • Schedules, maintains and organizes all CEO meetings ensuring they are an effective and efficient use of time.
    • Coordinates with all staff ensuring CEO needs are conveyed, progress is being made in a timely manner, and demands on CEO's schedule are understood and agreed upon.
    • Assists with operations and maintenance of the headquarters building (i.e., ensuring supplies are ordered and building grounds are clean and presentable).
    • Oversees all general office needs including, but not limited to: office equipment, supplies and appliances (i.e., copiers, postage, invoices, etc.).
    • Develops company dashboard for all leadership; refreshes data for CEO review.
    • Supports executive team communications with the CEO; works with Executive Staff to align actions and communications in support of agreed-upon goals.
    • Maintains confidential documents, files and communications on behalf of the Agency, in particular matters concerning the CEO.
    • Plans and executes multiple, often quick-turnaround projects with minimal outside assistance; provides relevant and timely updates to CEO.
    • Provides support to the Development Team, including assisting with fundraising events, working with event vendors, community event committees, and board members.
    • Supports agency community committee meetings and business.
    • Performs other duties, tasks and special projects as assigned.
