    Summary

    Under general direction, is responsible for providing administrative and technical support to the Elected Official/Department Head; assists with special projects; develops office administration procedures; compiles, maintains, and reports on statistical data; responds to general and complex questions and complaints regarding the office/department; provides general clerical/administrative support to staff; and may supervise, lead, or train office personnel.

    Position is excluded from Civil Service.

    Duties and Responsibilities
    • Provides Elected Official/Department Head with major administrative and technical assistance in executing office operations including the development of office administrative procedures
    • Responds to complaints from Elected/Appointed Officials, outside organizations, Department Heads, County employees, and the public
    • Compiles and maintains statistics and develops complex reports using spreadsheet and database software
    • Researches County policies and procedures, statutes, and speech material for the Elected Official/Department Head
    • Attends and participates in meetings on behalf of the Elected Official/Department Head and prepares reports of proceedings
    • Prepares agendas for office/departmental, County-wide, or public meetings and presentations
    • Communicates with Elected/Appointed Officials, Department Heads, news media, and public on behalf of Elected Official/Department Head
    • Provides general administrative/clerical support to staff, including copying, answering telephones, and updating/maintaining files
    • May supervise, lead and/or train administrative or clerical support personnel
    • Performs related duties as required
    Minimum Qualifications
    • Graduation from an accredited college or university with a Bachelor's Degree in Business Administration, Public Administration, Criminal Justice or a closely related field, and four (4) years administrative experience in an office environment; or an equivalent combination of education and experience
    • Good knowledge of office administration; good knowledge of and skill in applying rules of grammar, spelling, and punctuation
    • Skill in supervising professional and clerical employees; skill in researching information; skill in operating personal computer and basic office equipment
    • Ability to communicate effectively with diverse groups of individuals utilizing tact and diplomacy; ability to effectively respond to questions and complaints; ability to communicate effectively, both verbally and in writing; ability to adjust to rapidly fluctuating situations; ability to manage multiple projects simultaneously; ability to establish and maintain effective working relationships with co-workers, County employees, Elected/Appointed Officials, governmental representatives, constituents, outside agencies, news media, and the public
    • Must secure and maintain a favorable background investigation and clearance
    • Must clear a pre-employment physical and a pre-employment drug screen test
    • May be required to work more than 40 hours during the workweek
    Working Environment and Physical Demands
    • Constantly working in indoor conditions
    • Occasionally moves items weighing up to 15 pounds
    • Occasionally moves about the office
    • Frequently communicates with others; must be able to exchange accurate information
    • Constantly operates a computer and other office productivity machinery
