    Job Title: Executive Administrative Assistant

    FLSA: Non-Exempt

    Position Name: Executive Administrative Assistant



    General Statement of Duties:

    The Executive Assistant provides high-level administrative, clerical, and special project support to executives of the organization, their management teams, and Board.



    Essential Job Functions:

    1. Screens telephone calls and visitors, uses discretion and judgment in ascertaining who can be redirected to subordinate management. Provides information to callers, which requires comprehensive knowledge of company policies, practices, and operations.
    2. Opens and reviews all mail directed to the executive. Composes responses to routine inquiries, delegates items to subordinate managers when appropriate. Transcribes and types confidential correspondence, memos, minutes of meetings, and other materials or documents.
    3. Prepares a variety of highly confidential, specialized, and recurrent reports using word processing, spreadsheet, database, and/or presentation software.
    4. Manages special projects as assigned. Plans and delegates assignments, conducts research, gathers and compiles information for presentation, may prepare reports.
    5. Performs a broad range of administrative details of a confidential nature to aid the executive, that require initiative and judgment to make independent decisions.
    6. Maintains the executive's calendar, arranges meetings, conferences, and appointments without clearance. Makes travel arrangements including transportation, lodging, and itinerary.
    7. Provides administrative support for Board and Committee Agenda process to include: maintenance of corporate documentation for regulatory and legal review; coordination of meetings, agenda and reports; acts as minute-taker; responsible for meeting set-up, including catering for venue; and general support of Board members' contacts and training.

    Additional Job Functions:

    1. Follows up on all assignments delegated to others as to status, completion, etc.
    2. Maintains paper and electronic confidential files, fiscal records, and other documents.
    3. Supports the mission and vision of the Methodist Healthcare System and demonstrates excellent customer service at all times.
    4. Understands and is committed to helping the Methodist Healthcare System and its associated facilities achieve its goals.
    5. Must learn and comply with System and facility safety policies and rules; must use appropriate safety equipment and procedures at all times; must immediately report all unsafe conditions to supervisors; must be familiar with all safety features of equipment, tools, or materials encompassed by job duties; and must check with supervisors (prior to job performance) if there is a question as to the safe procedure to be used for any job function.
    6. Adheres to the MHS Code of Conduct and demonstrates ethical behavior as expected by our patients, colleagues, and the community. Understands the personal obligation to report any activity that appears to violate applicable laws, rules, regulations, or the Code of Conduct itself.
    7. Completes other duties as assigned.
