- Greet and assist each visitor, staff or affiliates of AlohaCare with professionalism and kindness during business hours.
- Maintain a log of all visitors and parking validation (if needed)
- Issue and retrieve all visitors badges for visitors and bathroom keyes for meetings in the lobby.
- Receive all incoming mail and distribute appropriately to all departments as per mail sorting guidelines
- Process all outgoing mail as appropriate based on Policy and Procedure instructions
- Process any incoming or outgoing Certified mail as appropriate.
- Identify and scan all piece of returned mail for both provider and member along with 3547 for member.
- Maintain inventory and the ordering of supplies for kitchen area, mailing area, game room, and lobby area.
- Organize Outlook calendars for meeting rooms in lobby to ensure availability of room.
- Ability to organize, prioritize, communicate and manage workload effectively and efficiently.
- Be able to communicate regularly with Department Manager, Supervisors and other designated staff members within organization
- Assist with log maintenance and ensure signatures for provider/vendor check distribution when received from Finance
- Assist with preparation, tracking and maintenance of reports necessary to carry out the functions of the department. Prepares periodic reports for management, as necessary or requested, to track strategic goal accomplishment
- Maintain orderliness of Lobby area to include printed material area, seating area, keiki corner, and computer stations, and associated meeting rooms on 1st floor (Waimanalo, Waianae, and Kalihi rooms).
- Perform other duties and responsibilities, as assigned per departmental or organizational business needs
- Responsible to maintain AlohaCare's confidential information in accordance with AlohaCare policies, and state and federal laws, rules and regulations regarding confidentiality. Employees have access to AlohaCare data based on the data classification assigned to this job title.
- High School Diploma or Equivalent
- 1-3 years of customer service experience.
- Equivalent combination of education, experience and credentialing will be considered.
- Strong verbal and written communication in English.
- Requires operation of general office equipment to include; PC, fax/copy machine, ACD Mitel Phones, and postage meter machine.
- Intermediate skills using Microsoft Programs; Word, Excel, Outlook and PowerPoint.
- Achieves results, builds trust, communicates effectively, customer-service oriented and quality focused.
- Ability to multi-task, adapt to changing priorities, manage a diversity of high priority projects in a fast-paced environment.
- Attention to detail with documentation
- Ability to problem solve, analyze, think critically, good judgment and make fair decisions.
- Ability to report to 1357 Kapiolani office in person Monday to Friday.

Position Summary:
The Receptionist-Administrative Assistant is responsible for the front desk operations to include but not limited to; greeting & directing visitors and all staff or affiliates of AlohaCare promptly with friendliness and professionalism following specific guidelines. This role performs a variety of administrative. Other responsibilities will be to coordinate a varied workload and provide administrative support to the team in the most efficient, accurate, and professional manner possible. Data entry and attention to detail with documentation is key. Position requires the use of judgment and initiative to determine the best approach or action for necessary non-routine situations.
