    About SHAY

    SHAY is a mother daughter jewelry line founded in Beverly Hills in 2004. Our pieces are designed in-house and made of exceptional diamonds and precious gemstones set in 18-karat gold. We are sold in luxury boutiques throughout the world such as Saks, Harrods, Net-A-Porter, and many more. Our jewelry is worn by some of the world's biggest celebrities and influencers such as: Beyoncé, Jennifer Lopez, Rihanna, The Hadid's, The Jenner's, and many others.

    We are currently a 7-person team based in West Hollywood and looking for a superstar to join our team Applicants must be willing to do whatever it takes to "get the job done". While we're a well-established company, we continue to operate under the start-up culture. We don't want a task checker, we want someone to take SHAY to the next level and be part of the family.

    What is your Role?

    The Logistics & Sales Coordinator is responsible for handling all the aspects of logistics and will assist in the further development of SOP's, T&C's as well as lending their expertise in operations to help the team grow with processes and procedures. You will also be the driving force behind our sales team's efficiency and success.

    Major Tasks, Key Responsibilities and Key Accountabilities

    Sales

    · Collaborating with the sales team to ensure smooth order processing, from initial inquiry to final delivery.

    · Coordinating with clients to gather essential information, provide updates, and address any inquiries, ensuring exceptional customer satisfaction.

    · Managing and maintaining accurate sales records, reports, and documentation to track progress and identify areas for improvement.

    · Manage backend portals, item set up and all required administrative set up to ensure Pos ship in a timely manner.

    · Assisting in the preparation of sales presentations, proposals, and contracts to support the sales team's efforts.

    · Actively participating in sales meetings, providing valuable insights, and helping devise strategies to achieve targets.

    · Playing a key role in managing and optimizing our CRM system to enhance sales team productivity.

    Logistics

    · Handle all aspects of logistics from shipping to delivery

    · Use best practices when shipping

    · Pick, pack and ship all SHAY packages for different outlets

    · Familiar and well versed in Worldwide customs and regulations

    · Monitor, track and follow up on all packages

    · Responsible for RTV practices adhering to proper shipping policies inline with customs

    · Knowledge of how to resolve any shipping issues

    · Creation of UPC and EAN and track usage

    · Ordering and maintaining logistics supplies to cover time periods properly projecting usages

    · Understands how to create and use commercial invoices, COA, LOA, POA, Manufacturer's affidavit, USMCA, etc.

    · Knowledgeable of logistics terms DDP, DAP, Exworks, etc

    · Familiar with shipping partners, including : Brinks, DHL, Fedex, UPS, Parcel Pro, Ferrari, etc.

    · Assists in the day-to-day office operations where needed

    · Provide suggestions on cost effective shipping methods

    · Intermediate Excel skills

    · Data entry for coordinating package templates

    Qualifications & Requirements

    · Bachelor's degree and 4+ years of professional experience

    · Well versed in logistic protocols and procedures from country to country

    · Experienced with creating coordinating specific documents

    · Knowledge of necessary documents needed for specific territories

    · Strong communicator, negotiator and the ability to think strategically to influence others

    · Strong communication skills, both written and verbal, to effectively liaise with internal teams and clients

    · Ability to take initiative & follow-up independently

    · Excellent interpersonal & organizational skills

    · Advanced knowledge of Google Suite (Docs, Sheets, etc)

    · Ability to quickly resolve issues and develop relationships

    · Ability to manage multiple projects & tasks, prioritize well

    · Able to analyze and solve problem

    · Proven experience in a sales support or coordination role, preferably in luxury or jewelry.

    · Exceptional organizational skills with a keen eye for detail and the ability to handle multiple tasks simultaneously.

    · Proficiency in CRM software and Microsoft Office Suite (Word, Excel, PowerPoint).

    · A proactive and collaborative attitude, with a drive to contribute to a high-performing sales team.

    Experience Requirements:

    · Logistics Experience (2+ years)

    · Admin Experience (2+ years)

    · Experience with Logicmate (not essential)

    · Experience and a high level understanding of major retailer logistics such as UPC/EDI

    · Advanced computer skills
