    Overview:

    The Manufacturing Administrative Assistant provides comprehensive administrative support to the site leader and department heads within the manufacturing facility.

    This role involves managing schedules, coordinating communication, and ensuring efficient office operations.

    The assistant will handle confidential and proprietary information and is expected to work overtime and handle additional tasks as needed.


    Key Responsibilities:

    Administrative Support:
    Organize and maintain calendars for the site leader and department heads, scheduling meetings, appointments, and travel arrangements.
    Handle routine inquiries and correspondence on behalf of the site leader and department heads.
    Prepare and distribute reports, presentations, and other communication materials.
    Assist in organizing company events, team meetings, and conferences.


    Reporting and Documentation:
    Collect, review, and analyze data to prepare daily, weekly, and monthly reports for management.
    Maintain accurate and up-to-date records, files, and documentation relevant to the manufacturing process.
    Support the creation and maintenance of Standard Operating Procedures (SOPs).


    Project Coordination:
    Assist in coordinating cross-departmental projects, ensuring deadlines and quality standards are met.
    Act as a liaison between the site leader, department heads, and project teams.
    Monitor project progress and provide status updates.


    Office Management:
    Maintain office supply inventory and order supplies as needed.
    Coordinate with vendors and service providers for office equipment maintenance.
    Ensure a clean, organized, and efficient office environment.


    Human Resources Support:
    Assist in the onboarding process for new hires, including scheduling training sessions and orientation.
    Handle confidential and proprietary information with discretion, such as employee records and performance reviews.
    Support internal communication regarding HR policies and company announcements.


    Budget and Expense Management:
    Assist in tracking and managing the departmental budget.
    Process expense reports, invoices, and purchase orders for approval.
    Monitor cost-saving opportunities and suggest improvements.


    Overtime and Other Assigned Tasks:
    Work overtime hours as needed to meet project deadlines and support site operations.
    Perform other tasks assigned by the site leader or department heads to support manufacturing operations.


    Technical Skills and Compliance Knowledge:

    GMP Fundamentals:
    Understand and apply Good Manufacturing Practices (GMPs) to maintain a safe and compliant production environment.
    5S Knowledge: Implement and maintain 5S principles to promote a clean and organized workspace.

    Microsoft Office Suite:

    Excel:
    Develop spreadsheets, perform data analysis, and create reports using pivot tables and charts.

    PowerPoint:
    Create impactful presentations for internal and external meetings.

    Word:
    Draft and format reports, letters, and documentation.

    Tech Savvy:
    Quickly learn new software tools and systems as needed to support manufacturing operations.


    Qualifications:

    Education:
    High school diploma or equivalent required. Associate or bachelor's degree preferred.


    Experience:
    2+ years of experience in an administrative role, preferably within manufacturing.

    Experience supporting senior management is advantageous.


    Skills:
    Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

    Strong organizational skills and attention to detail.

    Excellent communication and interpersonal skills.

    Ability to prioritize tasks and work independently under pressure.
