About the Administrative Assistant position:


We are looking for a reliable
Administrative Assistant who will undertake a broad set of administrative and clerical tasks, such as providing support to our managers and employees, assisting in daily office needs and managing our company's general administrative activities, scheduling of skilled labor for fire inspection and service of fire alarm and sprinkler systems, making travel and meeting arrangements, preparing reports and maintaining appropriate filing systems.


The
Administrative Assistant ensures the efficient and smooth day-to-day operation of our office and should have excellent oral and written communication skills.

It is also required to have prior experience as an Administrative Assistant and familiarity within the fire and life safety industry or a related industry like construction.


Administrative Assistant responsibilities:


  • Attend meetings and take detailed notes.
  • Organize contact lists and filing systems.
  • Meet and support staff, management, and visitors.
  • Assist with light bookkeeping as needed.
  • Assist with scheduling.
  • Review and update office policies and procedures.
  • Monitor office supplies and research new deals and suppliers.
  • Prepare and submit expense reports.

Administrative Assistant requirements are:


  • 3+ years of experience as an Administrative Assistant or related role.
  • Scheduling of labor for inspections and service calls preferred.
  • Experience in the fire and life safety industry a plus, not required.
  • Significant experience with office management systems and procedures, as well as with office equipment, such as printers.
  • MS Office, including MS Excel and MS PowerPoint.
  • Strong time management and problemsolving skills and ability to prioritize work.
  • Professional written and verbal communication skills.
  • Strong organizational skills with the ability to multitask.
  • High School degree
