    Job DescriptionSalary: $23 - $24 Hour

    Front Desk Coordinator - 2+ yrs exp, degree (preferred)

    The Office / Administrative Assistant is responsible for managing all administrative aspects of the company's home office in San Diego (Sorrento Valley), CA, including specific support of the company President, Office Manager and In-house Counsel of the company headquarters office. Demonstrable accounting acumen and experience will be crucial to successful performance in this position. Other tasks will include vendor management, Procore management and communication with clients and other corporate partners. Shall display professionalism, organization and cooperation with customers and co-workers. Individual also works closely with Accounting, Estimating and Management staff.

    Responsibilities:

    • Front desk duties (answering of phones, manage overnight packages, mail and invoice distribution, etc.)
    • Administrative duties to include but not limited to:
    • Collect, review and process vendor invoices. Monitor payables beyond 30 days and notify office manager
    • Management and distribution of Prelim Notices and Lien Releases (Progress/Final Conditional and Unconditional Releases)
    • Ensure office file integrity (confirm receipt of insurance, Bonds, etc. and distribute accordingly).
    • Work directly with account payables, accounts receivable and subcontractors,
    • Keep office organized, including ordering of office supplies.
    • Great Customer service and communication skills
    • Exceptional organizational skills
    • Data Entry via Procore, Accounting entry via eCMS (accounting software).

    Qualifications:

    • High School Diploma or GED Preferred
    • 2 yrs Experience working in a fast-paced office environment
    • 2 Yrs Accounting Experience
    • Proficient with Outlook Email, Excel, Word (MS Office products)
    • Data Entry (Procore)
    • Salesforce knowledge
    • Proficient in Construction Management Software (Procore, Smart Compliance, etc.)
    • Office/Business support background
    • Knowledge of subcontractor/vendor insurance compliance
    • Ability to multi-task and prioritize
    • Ability to manage multiple priorities, effective team player, self-motivated, quick learner
