Job Summary Overview:


The Office Coordinator responsibilities are greeting and assisting customers, vendors, and personnel; answering multi line telephone system, screening and directing calls to proper personnel; sort and distribute incoming and outgoing mail and packages; assist the Branch Manager with the everyday labor duties.

In addition, the responsibilities entail ordering office supplies, maintaining and tracking office equipment services and repairs.


Major Responsibilities (Essential Job Functions):


  • Answer, screen, and transfer calls on multiline telephone system
  • Assist customers, vendors, and other personnel with general information questions
  • Maintain and purchase office supplies, including stationary and general forms for branch offices
  • Prepare special mailing and closeout packages
  • Process incoming and outgoing mail/correspondence
  • Maintain office equipment, including but not limited to, phone system, copier, printers, facsimiles, postage machine, calculators
  • Maintain cleanliness and order in the supply room, conference, kitchens, and front office
  • Edit documents and letters for staff as requested
  • Provide professional, tactful, and friendly customer service to vendors, customers, and office support staff
  • Maintain calendar of conference room
  • Perform other duties and/or special projects as assigned by Manager

Position Requirements:

Education, Experience and Skills:


  • Over 1 year and up to 3 years General Office and Reception experience
  • Microsoft Office XP; Word, Excel, Sales Logix Program
  • Purchasing experience, Customer Service Oriented.
  • Multi Tasking Skills, Organization Skills, Filing Skills
  • Excellent phone communication and interpersonal skills
  • Able to type 3555 wpm
  • High school diploma, GED or equivalent
