    Program Administrator

    COMPANY DESCRIPTION

    For 29 years, the International Festival of Arts & Ideas ("Arts & Ideas") has inspired and delighted audiences with an annual program of over 200 performing arts and humanities events year-round, at least 85% of which are free.

    Focused events in June range from world and nationally-renowned speakers sharing the stage with critical local voices for discussions on democracy, to jazz concerts, theatrical performances, dance; takeout mixology classes; bike and walking tours; and live, individual performances by local on-call artists on front lawns and sidewalks throughout the area.

    Year-round programs include special town-hall events, a fellowship program for youth, planning and implementing mini-festivals in New Haven's culturally-rich neighborhoods, participation in the NEA Big Read, and our annual Visionary Leadership Event.

    JOB DESCRIPTION

    The Program Administrator is integral to Arts & Ideas' program and project management, supporting the implementation and documentation of the program. This position will work directly with the Director of Artistic Planning and Operations to ensure the program needs are fulfilled on time. To ensure the success and effectiveness of teams and projects under their care, the Program Administrator must be an organized and confident project manager, dedicated collaborator, and capable of working in detail as well as communicating successfully with internal and external colleagues around high-level goals.

    Role Responsibilities:

    • Organize, maintain and manage information, communication and data including:
    • Program contract management.
    • Cross departmental reporting
    • Sales reporting
    • Finance tracking, and payment delivery.
    • Other duties as assigned to support the Artist Services and Production Departments in the delivery of the 2024 Festival.

    ESSENTIAL QUALIFICATIONS

    • Impeccable project management & organizational skills
    • Experience working directly with artists and their support teams.
    • Demonstrated ability to work effectively both individually with minimal supervision and as part of a team.
    • Strong written and communication skills with both internal and external stakeholders
    • Patience and agility when faced with last-minute changes and limited information.
    • Enthusiasm and demonstrated ability to be flexible and collaborative in a transitional, fast-paced environment.
    • Ability and willingness to work a flexible, varying schedule that can include weekends, long hours, late nights, and holidays as necessary.

    PREFERRED QUALIFICATIONS

    • Bachelor's degree
    • Experience working in a performing art setting.
    • Strong computer skills (including Microsoft Office365 Suite, and database software) and the ability to learn new technologies quickly.
    • Familiarity with Venue Ops or other similar events management software
    • Familiarity with performance venues in the New Haven area
    • Bilingual
    • Valid Driver's License

    CLASSIFICATION

    Seasonal

    Non-Exempt

    Pay Rate: $20.00-$22.50/hour

    Schedule: May-July, 2024 (Starts as Part-Time and progresses to Full-Time)
