Engage in various administrative tasks associated with training and development programs at the Institute for Excellence. Schedule training events, collaborate with instructors and vendors, acquire and distribute necessary materials, and communicate schedules and details. Manage IFE website, learning management system, and compile regular progress reports. Provide front desk support to employees, managers, and instructors for training events.
Responsibilities:
Operations Support:
- Maintain the schedule for all IFE training meetings.
- Establish communication with educators and other network coordinators on course-related matters.
- Manage a master calendar for systemwide training programs.
- Organize and maintain IFE training files in physical or electronic form.
- Oversee office supplies and nurture vendor relationships.
Training Coordination:
- Coordinate New Employee Orientation schedule and materials.
- Organize system-wide IFE training classes, manage enrollments, and communicate utilization information.
- Assign appropriate faculty for IFE training sessions with logistical support.
- Prepare up-to-date training materials in consultation with educators.
- Collect and summarize training evaluation feedback for programs.
- Enhance and manage the IFE training database.
- Administer classes and classrooms in the LMS, ensuring staff access.
- Update IFE website and electronic bulletin boards with the latest information.
- Maintain a log of System-wide IFE activities.
- Provide educators with class rosters and look-ahead reports.
- Address enrollment issues and process improvement suggestions.
- Maintain training contractual materials.
- Manage vendor information and invoices for approval and payment.
- Assist consultants with training operations.
- Coordinate vendors for space, equipment, and catering.
- Provide guidance to interns and temporary support staff.
- Offer front desk support, conveying program details to visitors and staff.
- Handle conflicts related to schedules, venue, faculty, and emergencies with urgency and diplomacy.

Qualifications:
EDUCATION
Associate's degree in a business-related field preferred, or equivalent experience. Bachelor's degree is a plus.
EXPERIENCE
Three (3) years of experience in program/event coordination required.
LICENSURE
None required.
SPECIAL SKILLS
Manage multiple projects simultaneously, detail-oriented, and client-focused. Proficient in PowerPoint, Excel, and Microsoft Office. Familiarity with Learning Management Systems and vendor management. Training and presentation skills are advantageous.
