    Description

    Chicago Cosmetic Surgery and Dermatology, located in River North (across from Nordstrom, off Red Line Grand Stop), is looking to add a Call Center Representative to our Dermatology and Plastic Surgery practice of 5 MDs, 4 PAs, 3 estheticians.

    Our ideal candidate must possess a positive, "can-do" attitude, be energetic, a team player, detail-orientated, and enjoys interacting with people. The ideal candidate has a background in a medical office/hospital, retail, hospitality, and/or customer service role.

    Position Summary:

    Responsible for greeting all patients on the phone. Schedules all patient appointments. Serves as a liaison between the patient and clinical staff. Participates in staff meetings and follows the general policies and rules of conduct as outline in the employee handbook.

    Essential Functions:

    • Retrieving messages from voicemail throughout day and end of day
    • Taking patient messages for doctor or clinical personnel, transferring calls to appropriate extensions
    • Logging and sending clinical messages via Contact Log in NexTech
    • Schedule/reschedule all appointments in a professional, accurate and courteous manner, following template guidelines
    • Determine at the time of scheduling whether the patient has insurance with which the practice participates. Notify patient of insurance verification if performed by Billing Team
    • Accurately and efficiently enter all demographic and insurance information into the practice management system
    • Monitor providers' schedules as necessary to ensure proper scheduling on template
    • Utilize waiting list to contact patients in need of appointment
    • Accurately enter all patient charges into the practice management system
    • Explain all charges to patients including any fees they will be responsible for (if patient is responsible for deductible after checking benefits)
    • Completing a daily batch reconciliation for all deposits collected at the end of the day
    • Other tasks as required

    Requirements:

    • Treats all patients and other staff members with respect, is polite and professional, and keeps patient information private and secure according to HIPAA.
    • Ability to effectively triage administrative requests from patients to ensure appropriate scheduling and outcomes.
    • Excellent customer service, communication skills and telephone etiquette.
    • Ability to understand patient's needs and concerns.
    • Ability to work as a team member.
    • Ability to manage multiple tasks simultaneously.
    • Organized with attention to detail.
    • Computer proficiency.
    • Knowledge of medical terminology.
    • Knowledge of CPT and ICD-10 coding.

    Education:

    • High school diploma or equivalent.

    Experience:

    • Two years minimum experience in a medical practice, hospital, customer service, retail or hospitality environment setting preferred. Willing to train the right candidate.
    • Our patient office hours are Monday 8:00am-6pm, Tuesday 8am-6:30pm, Wednesday 8:00am-6:30pm, Thursday 8:00am-6pm, Friday 8:00am-5pm. This is a full-time position hours a week). Staff typically work four day work days (9-10 hours per day) as we realize a work life balance is important.
    • We offer BCBS medical, dental, vision, Aflac, and retirement benefits with 3% employer match after an introductory period. Personal time off (PTO) is earned each pay period at a rate determined by the amount of years worked. PTO accrues based on hours worked and can be used after three months of employment. Staff employed receive 3.5 weeks to 5.5 weeks of PTO/year. PTO is vacation and sick time combined to use however you wish.
    • Hourly wage depends on experience.
