    Description

    Job Title: Executive Assistant

    Job Description: This person is responsible for the full support of a commercial real estate professional. This includes facilitating smooth and efficient commercial real estate transactions from start to finish, managing calendar and shared file management, document drafting, CRM management with marketing outreach, oversee a virtual assistant, strategizing operations to become more efficient as a team. Expertise in coordinating, managing, and communicating with various parties involved in reaching time sensitive goals is essential.

    Requirements:

    q Valid Driver's License and reliable transportation

    q Up to date technology (i.e. smart phone and laptop)

    q Technology savvy including MLS, Google drive, Apple Products, CRMs, Outlook, Introductory A.I., online signature technology, online Commercial Real Estate technology (crexi, loopnet, costar) online video communication tools.

    q Responsive and accommodating, "quick processor" with attention to detail

    q Exceptional communication and interpersonal skills, with the ability to effectively communicate with various stakeholders.

    q Ability to multitask and prioritize responsibilities in a fast-paced, deadline-driven environment.

    q Sound problem-solving and decision-making abilities.

    q Knowledge of local and state regulations pertaining to commercial real estate transactions helpful but not immediately required.

    q Ability to maintain confidentiality and handle sensitive information with discretion.

    q Flexibility to adapt to changing priorities and handle unexpected challenges.

    Job Responsibilities:

    q Provide stability to an intense and variable profession. Provide strategic implementation of processes/systems to help owner achieve new levels of professional success.

    q Some Social media management, most notably google business page, Instagram, LinkedIn, basic website updating.

    q Database – adding new people, notes, reminders, tasks. Oversee follow up and marketing campaigns and the VA that assists in this manner.

    q Create and update a Daily assignment Sheet for Owner

    q Weekly data tracking from market activity on listings (or oversight to get From VA)

    q Gathering data and compiling financials/proformas for offering memoranda and potential client questions. This is a learned skill most likely.

    q Handle owner Calendar/Scheduling

    q Create presentations, and aid staff with research and creating larger presentations

    q Serve as the main point of contact for all parties involved in commercial real estate transactions, including clients, agents, lenders, attorneys, and escrow officers.

    q Coordinate and manage all aspects of the transaction process, ensuring timely and accurate completion of required documentation, deadlines, and milestones.

    q Assist with the review and creation of contracts, leases, purchase agreements, and other transaction-related documents.

    q Conduct thorough due diligence, including property research, title searches, and financial analysis, to identify potential issues or risks.

    q Coordinate property inspections, appraisals, and other necessary assessments.

    q Liaise with lenders to facilitate financing arrangements and coordinate loan documentation.

    q Coordinate with escrow officers to ensure the smooth transfer of funds and legal documents.

    q Assist in delivery of closing statements and settlement documents—Deliver pre-created invoices to clients and track payments received or not.

    q Maintain accurate transaction records, files, and databases.

    q Keep all parties informed about the progress of transactions, addressing any concerns or questions promptly.

    q Stay updated on industry trends, regulations, and best practices related to commercial real estate transactions.

    q Collaborate with other team members to improve and streamline transaction processes.
