    Job Description:

    Harding Fine Arts Academy Foundation (Foundation) is seeking a detail-oriented and highly organized Financial Administrative Assistant to join our team. The ideal candidate will possess a strong understanding of accounting principles and exhibit meticulous attention to detail in managing financial records. They will report to and work closely with the Executive Director and act as a critical support pillar of the team. They will be asked to think both strategically about the larger efforts of the Foundation, along with performing highly detailed and creative work daily.

    Organization History and Description:

    Harding Fine Arts Academy Foundation is a 501c3 nonprofit created in 2019 with the purpose of raising funds for and supporting the activities and programs of Harding Fine Arts Academy (Academy), an award-winning arts-integrated public charter high school in central Oklahoma City, OK. The Foundation is governed by a volunteer board of directors and its day-to-day operations are led by a single paid staff member. The Foundation works with students, teachers, administrators, parents, alumni, and community volunteers to advance the Academy and create innovative educational opportunities.

    The Foundation has the primary responsibility for securing private charitable funds and other forms of restricted and unrestricted revenue that help it fulfill its charitable purpose of supporting Harding Fine Arts Academy. The Foundation accomplishes these objectives through fundraising, grant writing and marketing. The Foundation raises funds through four major funding sources (1) the Annual Leadership in Arts & Education Awards, (2) individual and corporate giving, (3) grants from private charitable entities and government agencies, and (4) commercial financing options such as state and federal tax credits.

    In January 2019, the Foundation raised the necessary funds to purchase the historically significant Harding School building making it the permanent home of the Academy. The Foundation has implemented a $32 million capital campaign to improve the building's functionality and preserve its historical integrity and character.

    Duties and Responsibilities

    Finance and Accounting

    • Per HFAA Foundation's Accounting Policies and Cash Handling Policies record receipts in the ledger noting date of receipt, amount, vendor, business purpose and expense account.
    • Document any refunds or disbursements and prepare authorizations for payment such as checks, wire transfers, and ACH.
    • Update and maintain the organization's chart of accounts.
    • Reconcile all accounts with the HFAA Foundation Treasurer on a monthly basis.
    • Prepare monthly financial statements for the Board of Directors including Balance Sheet, Statement of Activities, and Profit and Loss Statement.
    • Assist the auditor with the annual audit process by providing accurate financial records, supporting documentation, and answering audit inquiries to ensure compliance and accuracy.
    • Support HFAA Foundation Treasurer with the annual filing of the organization's tax returns, including Form 990, by organizing and compiling necessary financial data, preparing preliminary tax documents, and coordinating with external tax professionals.

    Development Coordination

    • Record, process, and reconcile all contributions in DonorPerfect Online (Foundation's fundraising and donor management software)
    • Perform regular database maintenance of DonorPerfect Online such as merging duplicate records, correcting contact information (address, email, phone, etc.) and updating gift or pledge information.
    • Generate reports using DonorPerfect Online query and filter functions.
    • Generate donor communications such as pledge notifications, pledge reminders, tax acknowledgement letters, tribute letters, gift agreements, invoices, and sponsor commitment forms as necessary.
    • Oversee the completion of stewardship efforts by various parties (Executive Director, Board Chair, Superintendent, faculty members etc.) such as note cards, phone calls, letters, invites and postcards.

    Office Administration

    • Receive and sort mail and scan/fax to the appropriate parties.
    • Answer phone calls in a polite and professional manner and welcoming visitors.
    • Maintain comprehensive and accurate accounting, donation, grant, and constituent records.

    Skills and Abilities:

    Enthusiasm for the mission of Harding Fine Arts Academy and the students we serve.

    Maintain confidentiality in all aspects of donor and or giving information.

    An effective and professional communicator with strong verbal and written communication skills.

    Detail-orientated with the ability to plan, organize, and manage multiple projects and priorities.

    Must be computer literate (working knowledge of word processing, PowerPoint, Excel, etc.)

    Education and Training Requirements:

    1-3 years of office management experience required.

    Associate or Bachelor degree in accounting, business, management, nonprofit administration, or a related field is desired, though not required.
