- Facilitate communication between the Senior Vice President and stakeholders with impeccable written and verbal communication skills, ensuring clarity, professionalism, and timeliness in all correspondence.
- Contribute to fostering a positive work environment and supporting professional growth by assisting with human resource processes, including onboarding and employee relations.
- Provide support in financial reporting activities, demonstrating proficiency in financial data management and reporting processes to ensure accuracy and compliance.
- Exhibit meticulous attention to detail in crafting reports, presentations, and other materials, adhering to the highest standards of quality and professionalism.
- Serve as a dependable resource, providing comprehensive support to the Senior Vice President and the wider team in administrative tasks, including correspondence management and file organization.
- Demonstrate exceptional organizational skills in managing the Senior Vice President's calendar, adeptly scheduling appointments, meetings, and travel arrangements with precision and foresight.
- Assist with organization and administration of office operations.
- Assist with Invoicing & Accounts Receivable.
- Interface with Accounting and Corporate groups.
- Interface with Owner's Representative Group/ Project Managers and staff.
- Coordinate events including team meetings, client meetings, etc.
- Time sheet review and auditing.
- Order and Maintain kitchen and office supplies
- Will be handling time sensitive and confidential materials
- 5+ years of office administration experience.
- Experience with Accounts Receivable & Accounts Payable.
- Construction, Engineering, or related industry experience is preferred.
- Proficiency with Microsoft Suite tools (Word, Excel, PowerPoint etc), Bluebeam, experience with Canva, Constant Contact and Social Media platforms preferred.
- Deltek Vision experience is a plus.
