    Position: HR Administrative Assistant (Part-Time)

    Department: Human Resources/Facilities

    Location: New York, NY / Hybrid

To capitalize on its broad range of investment management and retirement plan services, New York Life formed New York Life Investments in 1999. MacKay Shields continues to operate independently regarding both investments and compensation.

    Our Human Resources team is searching for an administrative assistant in a temp role who can assist in various areas within the firm. Responsibilities include managing expense reports, time off balances, reception back-up, scheduling meetings, and other ad-hoc departmental projects. This role is best for an individual who is highly proactive, autonomous, and has a great attention to detail. The position will require interaction with various departments within the business and will have high exposure to working with employees from all levels in the firm.

    Responsibilities
    • Responsible for updating time off balances for various teams
    • Filing and administrative duties (reception back-up, conference and lunch set-up, etc.)
    • Manage expense reports through Concur and create travel itineraries for various groups
    • Coordinate with Facilities on record keeping requirements
    • Assist HR in organizing company events, volunteer initiatives, and other projects
    • Manage departmental invoices and coordinate with Accounting team on processing
    • Manage benefits bills and ensure balances are accurate and up to date
    • Assist with auditing various reports for payroll, metrics, and other business requirements
    • Schedule interviews in a timely manner for hiring managers and candidates; follow up with hiring managers on feedback
    • Update HR metrics and ensure data is accurate and sent in a timely manner
    • Assist with other ad-hoc projects as needed
    Requirements
    • Detail-oriented, energetic, industrious and self-motivated team player who works well under pressure and has strong project management and interpersonal skills
    • Highly proficient in Microsoft Office particularly Excel (Filtering, Pivot tables, V-Lookups, etc.)
    • Highly organized with strong ability to multi-task
    • Excellent written and verbal communication skills
    • Strong attention to detail
    • Must be able to manage confidential documentation
    • Highly proactive and autonomous
    • Experience with HRIS such as ADP is a plus
