Administrative and Operations Assistant


Job Description:


Primary Responsibilities:


Purchasing:

  • Coordinate purchasing activities, including sourcing suppliers, obtaining quotes, and placing orders for office supplies, equipment, and other necessary items.
  • Maintain accurate records of purchases and ensure timely delivery of goods.

Accounts Payable:

  • Process invoices, expense reports, and other financial documents.
  • Reconcile accounts and ensure timely payments to vendors and suppliers.
  • Assist with expense tracking and budget management.

Answer Phones:

  • Manage incoming calls in a professional and courteous manner.
  • Direct calls to appropriate individuals or departments.
  • Take messages and relay them accurately to the intended recipient.

Possible Secondary Responsibilities:


Scheduling/Planning:

  • Work with Planner to setup Work Orders to properly flow through production facility
  • Assist with distribution of Production word orders

Develop Marketing Material:

  • Assist in the creation of marketing materials, such as flyers, brochures, and presentations.
  • Collaborate with the Sales team to develop content and design elements.

General Office Duties:

  • Perform various administrative tasks, including filing, scanning, and data entry.
  • Maintain office supplies inventory and reorder as needed.
  • Assist with special projects and other duties as assigned.

Qualifications:

  • Proven experience as an administrative assistant or similar role.
  • Strong organizational and time management skills.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with basic accounting principles is a plus.
  • Ability to work independently and as part of a team.
  • Attention to detail and accuracy in all tasks.
  • Bachelor's degree preferred, but not required.

Pay:
$ $20.00 per hour

Expected hours: 40 per week
