Administrative Assistant
The Administrative Assistant reports to the President and is responsible for supporting the executive team with general office responsibilities, schedule coordination and travel planning.
Primary Duties & Responsibilities
- Coordinates inbound and outbound mail, voice and digital communication
- Assists in establishing and maintaining physical and digital filing systems
- Responds to and resolves administrative inquiries and questions
- Coordinates and schedules travel, meetings, and appointments for President
- Prepares agendas and schedules for meetings
- Assist executive team with presentation materials
- Records and distributes minutes or other records for meetings
- Maintains office supplies and coordinates maintenance of office equipment
- Under direction of President, prepares and posts approved jobs and coordinates hiring process steps
- Assists Controller with new employee onboarding
- Performs other related duties as necessary or assigned
Knowledge, Skills & Attributes:
- Associate degree in related field required, bachelor's degree preferred
- 3+ years of experience in an administrative role
- Knowledgeable of basic employee hiring and onboarding processes
- Familiar with QuickBooks Online accounts payable functionality
- Ability to prepare PowerPoint presentations
- Written skills consistent with professional business communications
- Excellent interpersonal and customer service skills
- Propensity to anticipate, organize and prioritize tasks
- Continuous learning and sharing mindset
- Linear thinker with attention to detail
- High pace and sense of urgency
Pay:
$55, $65,000.00 per year
