    Job Title: Administrative Assistant
    Department: Administration
    Reports To: Chief Executive Officer
    FLSA Status: Non-Management Position


    Position Summary: Wesley's Administrative Assistant will perform a variety of administrative and
    clerical tasks. Duties of the Administrative Assistant include providing support to Wesley's
    Executive Leadership Team, assisting in daily office needs, and managing our company's general
    administrative activities

    Essential Duties and Responsibilities: To perform this job successfully, an individual must be able
    to perform the following satisfactorily; other duties may be assigned.

    • Serves as an administrative assistant for at least six (6) Managing Directors which includes helping to organize and schedule meetings, manage shared calendars, manage, and screen incoming emails, expense reports, and other projects, as necessary.

    • Order and maintain office supplies and arrange for equipment maintenance.

    • Assist Business Development department with printing marketing collateral, posting on
    social media and blog posts, update marketing networking calendar; Adobe Photoshop experience is a plus.

    • Track, balance and maintain company donations.

    • Database entry/maintenance of company contracts.

    • Manage student acceptance for clinical learning in My Clinical Exchange data base.

    • Provide administrative support for senior members of Wesley and perform
    administrative duties such as filing, typing, copying, creating and distribution of meeting
    minutes, scanning, etc.

    • Receive, sort, and route incoming mail and packages.

    • Contribute to team effort by accomplishing related results as needed.

    • Assisting with other administrative duties as needed.

    • Assist with open job positions as needed. Posting resumes, prescreening candidates,
    and setting up interviews.

    Qualifications: To perform this job successfully, an individual must be able to
    perform each essential duty satisfactorily. The requirements listed below are representative of
    the knowledge, skill, and/or ability required. Reasonable accommodations may be made to enable

    Education/Experience: Bachelor's degree from four-year college or university; or one to two years
    related experience and/or training; or equivalent combination of education and experience.

    Language Ability: Bilingual in Spanish a plus, but not required. Read and interpret documents such as safety
    rules, operating and maintenance instructions, and procedure manuals. Write routine reports and
    correspondence. Speak effectively before groups of customers or employees.

    Mathematical Ability: Add, subtract, multiply and divide in all units of measure, using whole
    numbers, common fractions and decimals. Compute rate, ratio and percent, and draw and interpret bar
    graphs.

    Reasoning Ability: Apply common sense understanding to carry out instructions furnished in
    written, oral, or diagram form. Deal with problems involving several concrete variables in
    standardized situations.

    Computer Skills: MS Office, MS Office 365, and Adobe. Experience with databases such as
    Compliatric, My Clinical Exchange and Hybrent a plus.

    Supervisory Responsibilities: This job has no supervisory responsibilities.
