- Design, create and optimize systems to ensure smooth day-to-day business operations
- Manage and oversee daily office operations including mail, on-site vendors, and other visitors
- Organize and coordinate office administration, and procedures, in order to ensure organizational effectiveness, efficiency and safety
- Manage office space including repairs, maintenance and insurance policies
- Proactively monitor and replenish all necessary supplies
- Interface with and provide support to off-site accountants
- Manage, coach and develop all operational/support/non -business representative staff
- Assign work, set clear expectations and provide coaching, development and accountability to drive excellence in performance
- Work with team members to build and sustain an environment of trust and professionalism
- Partner with employees to resolve workplace issues as they arise
- Lead by example and serve as a role model to colleagues by maintaining a professional demeanor, and encouraging self-reflection during complex situations
- Maintain employee files, including up to date job descriptions
- Provide general administrative and logistical support
- Coordinate all meeting and event logistics for staff and Board
- Directly support Business Representative with administrative assistance including travel planning, expense reports and meeting coordination
- Proactively identify opportunities to contribute and independently drive all work to completion
- Research, prepare and edit communications, presentations, reports and other documents
- Streamline administrative processes as needed
- Basic accounting/bookeeping
- Organize and log documents in document retention database
- Perform any additional duties as instructed by Business Representatives
- 5+ years experience as an executive administrative assistant or office manager
- 5+ years managing healthy, high-performing teams people leadership experience
- Ability to identify and analyze issues and problems and to recommend and implement solutions
- Ability to manage multiple competing priorities simultaneously
- Proficient computer skills and in-depth knowledge of relevant software knowledge of standard office administrative practices and procedures
- Bachelor's degree an advantage
