    Description

    NewFest, New Yorks leading LGBTQ+ film and media organization, seeks a part-time Development Coordinator with non-profit development experience to join the NewFest team for a seasonal contract. Reporting directly to the Development Manager, the position will run for approximately six months with variable hours outlined below, with a mix of remote and on-site work required.

    The Development Coordinator will support the Development Manager with a range of development tasks as they pertain to 2024 NewFest Pride (May 30 - June 3) and The 36th Annual New York LGBTQ+ Film Festival (October 10-22), including: managing sponsorship deliverables, assisting with sponsorship contracts and negotiations, donor research and reporting, administrative support, and assisting production staff with special events.

    Estimated Schedule and Availability:

    May 15 - May 29 5-10 hr/wk

    Remote with some availability during 10a-6p ET

    May 30 - June 3 20-30 hours (NewFest Pride)

    Evening and weekend availability for events, Thurs May 30 - Mon June 3

    June 4 - Sep 30 15-20 hr/wk

    Remote with some availability during 10a-6p ET

    Oct 1 - Oct 20 30-40 hr/wk

    Remote AND on-site in Manhattan and Brooklyn

    Evening and weekend availability during festival, October 10-20

    Oct 20 - Nov 1 5-10 hr/wk

    Remote with some availability during 10a-6p ET

    Responsibilities:

    • Manage fulfillment of festival sponsorships
    • Organize and update multiple project databases for sponsorship and donors/supporters
    • Communicate efficiently across internal teams to coordinate sponsorship fulfillment and ensure deadlines are met
    • Assist with individual giving and donor cultivation projects
    • Research and report on known prospects attending the festival
    • Create development VIP lookbooks for select events
    • Identify new donor prospects from members, audience, and guests
    • Track gifts and progress towards festival campaign goal
    • Assist with drafting appeals, thank you notes, etc.
    • Attend weekly check-in and goal-setting meeting with Development Manager
    • Attend weekly festival team meetings (remote) beginning in September, as needed or on behalf of Development Manager
    • During the festival, support Development Manager and event production team with tasks related to special events with an all-hands-on-deck attitude
    • During the festival, act as a friendly, welcoming presence to sponsors, donors, board members, and all guests
    • Assist with content creation for festival wrap reports, including copywriting, photo selection, thank you letters, event recaps, etc.
    • Assist Development Manager with various tasks

    Skills and Qualifications:

    Ideal candidate will have most of the following

    • At least 3 years professional experience. Previous non-profit development experience highly preferred; experience in audience services, guest services, special events, marketing, or project management will also be considered
    • Corporate sponsorship experience is a huge plus
    • Prospect research experience is a huge plus
    • Film, arts, or literary festival experience is a huge plus
    • Ability to work efficiently in a fast-paced environment with multiple teams
    • Proficient in AirTable (strongly preferred) and Google Workspace, experience with database management a plus
    • Eye for presentation and creating reader-friendly documents and spreadsheets
    • Excellent written and verbal communication skills
