    Description
    Junior Office Manager

    LHH is teaming up with a State Government Department in search of an experienced Junior Office Manager.

    As Junior Office Manager, you'll be the backbone of the administrative support team, ensuring smooth operations and efficient workflow. Reporting to the Staff Services Manager, you'll oversee clerical and graphic design tasks, supervising a team and maintaining essential office functions.

    Responsibilities:

    Supervision and Training:
    • Lead and guide a team in performing administrative, clerical, and graphic design duties.
    • Coordinate reception desk responsibilities, ensuring accurate message relay and prompt issue resolution.
    • Manage mailroom activities, overseeing sorting, delivery, and coordination with courier services.
    • Maintain adequate inventory of mailroom and postage supplies, scheduling equipment maintenance as needed.
    File Management:
    • Oversee file management activities, ensuring proper record maintenance and inventory audits.
    • Coordinate with staff to update lease and work order files, maintaining accuracy in ACCELA and SharePoint.
    • Clerical Work:
    • Review and supervise clerical tasks, including copying, scanning, and document maintenance.
    • Assist in composing correspondence and conducting mail merges for internal and external communications.
    • Ensure compliance with Public Records Act (PRA) procedures and maintain scanning and copying supplies.
    Graphic Design Oversight:
    • Supervise graphic design section activities, ensuring timely and quality completion of projects.
    • Review graphic design work using Adobe software and maintain equipment.
    • Collaborate with Information Services Division (ISD) on updating directories and communication materials.
    Additional Responsibilities:
    • Assist in staff recruitment and hiring processes.
    • Perform messenger services as required and research office equipment upgrades.
    • Provide coverage during staff absences and assist in various clerical tasks to meet deadlines.
    Experience:
    • At least 3 years clerical experience required
    • Employee supervision experience required
    • Valid California Drivers License required
    • Strong organizational skills and ability to multitask effectively.
    • Excellent communication and interpersonal abilities.
    • Proficiency in office software and equipment operation.
    • Capacity to work independently and under pressure, prioritizing tasks efficiently.
    • Ability to thrive in a fastpaced environment

    Location: Fully On-Site in South Sacramento, CA

    Job Type: Direct Hire

    Hours: 8:00 AM 5:00 PM

    Salary: $4,124 - $5,167/month depending on experience

    Benefits: CalPERS
