- Coordinate and manage the administrative aspects of design and construction projects for multiple properties and managers.

- Create, update, and manage Excel workbooks, Word files, etc.
- Establish organizational tracking and reporting systems to improve efficiency and functionality.
- Maintain tracking logs for permits, contracts, project status, etc. in Microsoft Excel.
- Communicate verbally and in writing with tenants to provide excellent customer service.
- Communicate with and update internal staff and external vendors. Provide notification to necessary parties.
- Organize and participate in meetings, prepare presentation materials, and file meeting minutes: example: (CapX, retail, staff meetings)
- Review and manage project documents, submittals, and correspondence.
- Ensure tenant and contractor compliance with leases, rules, and regulations & insurance requirements.
- Provide preconstruction and project closeout assistance.
- Provide technical writing and editing of manuals.
- Set up and maintain electronic and paper files as well as rotation to P5 Storage.
- Provide accounting assistance with invoice tracking.
- Maintain and review certificates of insurance, requests, and communicate with required internal and external personnel as needed.
- Schedule security contract coverage for tenants.
- Schedule meetings for internal parties & meetings with external tenants/vendors.
- High school diploma or equivalent, college degree preferred.
- 3-5 years of experience in administrative support preferably with a commercial construction or architecture firm, but not required.
- Proficient with computer and web applications including Microsoft Office Suite (Outlook, Excel, Word, Project, PowerPoint, Publisher, and SharePoint), Bluebeam is a plus.
- Able to work in an office environment and do some fieldwork as necessary. Must be able to lift books and boxes up to 40 pounds.

POSITION SUMMARY
This position reports to the Design and Construction VPs. The successful candidate will be responsible for high‐level administrative support to the Senior VPs, VP'S, Director's and department project managers. This position will be involved with a range of project types including shell & core, retail and office tenant improvements and capital projects.
DISTINGUISHING CHARACTERISTICS
The Construction Administrative Assistant is expected to act with a great deal of independence in the daily performance of duties, continuously demonstrating and maintaining proficiency in all construction and development related tasks, while fostering teamwork and actively contributing to Kemper Development Company's values and culture.
The Construction Administrative Assistant is an organized self-starter with the ability to work autonomously and take initiative. The Construction Administrative Assistant is skillful at prioritizing and organizing, handling multiple demands simultaneously and managing complex assignments. The Construction Administrative Assistant must be an assertive, resourceful, and motivated team player with strong communication skills. Sound judgment, attention to detail, accuracy, timeliness, and ability to work effectively with a minimum amount of direction are necessary skills for this position.

The Construction Administrative Assistant is responsible for coordination of all administrative functions in support of the department assuring the highest degree of quality is maintained at all times.
