    Description

    Administrative Assistant to Research Team for Financial Services downtown NYC based firm.

    This individual will work closely with 6 senior research analysts and 9 junior research associates. Serve as the interface between the research professionals and firm personnel / clients of the firm. Core responsibilities include phone coverage, maintenance of distribution lists, travel arrangements, and processing of expenses. Depending on experience and desire, the responsibilities in this position can be expanded to include assistance preparing and executing analyses of industry groups and individual companies for use in the formulation of investment recommendations. Duties could include collecting, evaluating, and applying statistical data, and maintaining company and industry databases using spreadsheet software.

    Further details:

    Support team covering Internet, Communications/Cloud Services and Online Travel, and Sustainable Growth & Resource Optimization.

    Arrange all aspects of travel – seek and manage approvals for travel, arrange flights, hotels, rental car, car service, and prepare itineraries.

    Maintain calendar, contacts, client distribution lists, schedule meetings and conference calls (client, corporate & internal) handle meeting conflicts and prioritize issues.

    Keep up to date with office procedures and technical training as well as all policy guidelines and compliance requirements.

    Send and log models and other research services in database (calls, meetings, etc,).

    Administrative Tasks:

    • Heavy calendaring, travel arrangements, phone coverage, expense reports, coordinating meetings, lunches, dinners.
    • Manage all correspondence (email gatekeeper)
    • Scheduling, arranging meetings
    • Research and preparation for meetings
    • Setting up zooms/team meets
    • Assistant Sr. Management with any projects
    • Responsible for all expenses.

    Bachelors Degree Required

    Downtown/NYC

    Fast pace environment

    Must be detailed oriented.

    1-5 years of Administrative Experience preferably in Financial Services.

    Strong communication and writing skills.

    Strong knowledge of MS Office, Word, Excel, Outlook, PowerPoint.
