- Assist staff with administrative tasks as needed.
- Foster a positive and collaborative work environment.
- Answer and direct incoming phone calls in a friendly and professional manner.
- Sort and distribute incoming mail.
- Prepare mailings, UPS, FedEx, and messenger packages.
- Visit the post office, FedEx, or UPS facilities as needed.
- Finalize letters/notices and draft engagement letters as requested.
- Scan client documents and monthly statements.
- Create client codes and locators.
- Update accounts in the practice management program.
- Prepare, print, and collate tax organizers.
- Client Data Processing
- Organize and process incoming client data.
- Create binders for efficient document management.
- Assemble paper and electronic tax returns (individual, trust, entities, gift tax, estate tax) using SafeSend.
- Coordinate and prepare batch filing, ensuring compliance with monthly and deadline requirements.
- Record chargeable client expenses.
- Attend firm committee meetings and record meeting minutes.
- Coordinate services to maintain the office as directed by the office managing partner.
- 3-7 years of administrative experience.
- Tech-savvy, with proficiency in Outlook, Teams, and Excel.
- Excellent organizational and communication skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Detail-oriented and capable of managing multiple tasks simultaneously.
