WINGS Program provides a pathway to independence for adults and children who are escaping domestic violence and abuse.

We are the largest provider of domestic violence shelter services in the State of Illinois and are on a path of growth to serve more who need our assistance.

We are looking for an Administrative Assistant at our suburban based main office.


Objective:

To provide administrative support to the members of the Executive Team and Board and

Councils of WINGS.


Key Responsibilities:


  • Serve as liaison to external stakeholders who seek to make contact with the President/CEO and Executive Team members.
  • Handle and direct inquiries that come to the President/CEO's office.
  • Coordinate President/CEO's schedule and assist with making travel arrangements.
  • Schedule meetings and coordinate schedules for Executive Team members.
  • Manage correspondence, telephone and written, to and from the President/CEO.
  • Manage expense reports and credit card expense coding for Executive Team.
  • Assist with activity tracking in Raiser's Edge NXT for President/CEO.
  • Coordinate all aspects of meeting planning and arrangements for Executive Team members including communication of meeting details and materials, as well as answering inquiries and monitoring RSVP processes.
  • Proofread, finalize, and compose letters, memos, Power Point presentations and all other documents that are generated by the President/CEO and Executive Team members as requested.
  • Undertake special functions, administrative, program, or research projects, as assigned.
  • Act as primary point of communication for the President/CEO's office to WINGS leadership council members.
  • Act as primary point of communication for Executive Team members to Board Committees.
  • Coordinate logistics of WINGS Board of Directors and WINGS leadership council's meetings, and events, attend and provide minutes for these activities.
  • Coordinate WINGS Board of Directors and WINGS leadership council's member onboarding.
  • Flexible start and end times and occasional weekend work is needed.

Requirements:


  • High school diploma or equivalent required.
  • Minimum of 3 years of administrative experience, with at least one year supporting one or more executives required.
  • Experience stewarding individual and organizational relationships preferred.
  • Commitment to diversity, equity, and inclusion.
  • Solid skills are required as follows
:

taking meeting minutes, project planning and management, multi-tasking, organization, team building, initiative and following through.

  • Must be able to learn quickly and relay/disseminate information accurately while maintaining strict confidentiality.
  • Attention to detail, tolerance for ambiguity, and the ability to work in a fastpaced, deadline driven environment are essential.
  • Strong analytical and problemsolving skills.
  • Must be dependable, ethical, and perform in a manner that is above reproach.
  • Highly organized and able to balance multiple tasks and priorities in a fluid environment.
  • Proficient in Microsoft Office Suite, including Excel and PowerPoint.

Full-time, regular, hourly, non-exempt
