    LHH is seeking a motivated Administrative Assistant to join a project management team and play a key role in ensuring the successful execution of their projects. The ideal candidate will be responsible for providing administrative support to project managers and assisting with various tasks to streamline project workflows. From coordinating meetings and managing documentation to assisting with scheduling and communication, the Administrative Assistant will be essential to maintaining efficient project operations and delivering exceptional results.

    Responsibilities

    • Assist 12 project managers with administrative tasks
    • Prepare and distribute project-related documentation, such as meeting agendas, minutes, and progress reports, ensuring accuracy and completeness.
    • Coordinate communication between project team members, clients, vendors, and subcontractors to facilitate smooth project execution.
    • Maintain project files and records, both electronically and in hard copy, to ensure easy access and retrieval of information as needed.
    • Assist in the preparation and processing of project-related paperwork, such as contracts, change orders, and purchase orders, in accordance with company policies and procedures.
    • Obtain appropriate permits for each project
    • Monitor project timelines and deadlines, proactively identifying potential delays or issues and communicating them to the project management team.
    • Track and log all project related data in Microsoft Excel
    • Provide general administrative support to the project management team, such as answering phones, managing correspondence, and ordering office supplies.
    • Assist with special projects and initiatives as assigned by project managers or senior leadership, demonstrating flexibility and willingness to take on new challenges.

    Qualifications

    • Associate or Bachelor's degree preferred.
    • Minimum of 3 years of administrative experience in the electric or construction industry or a related field.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other common office software applications (Adobe and Bluebeam strongly preferred).
    • Strong organizational skills with the ability to multitask and prioritize tasks effectively in a fast-paced environment.
    • Excellent communication skills, both verbal and written, with a professional and courteous demeanor.
    • Detail-oriented with a high level of accuracy in data entry and document preparation.
    • Ability to work independently with minimal supervision while also functioning effectively as part of a team.
    • Familiarity with project management concepts and terminology preferred but not required.
    • Willingness to learn and adapt to new systems, processes, and technologies as needed.

    Pay Details: $26.00 to $28.00 per hour
