    Description

    Scope of Position:

    With the general direction of the Chief of Staff (COS), and on her behalf, provide direct support, assignment-driven oversight services, and research in preparation of decision-making, priority setting, and coordination of duties. This requires that the incumbent exercises a high degree of independence, while exercising sound judgment in making decisions related to research assignments, data analytics, and decision-based reports used by the COS in setting the direction for the department. Specific duties include, but will not be limited to the following:

    Duties and Responsibilities:
    (Candidates must perform the following functions with or without reasonable accommodations.)

  • Conduct assigned research and assemble information in preparation of decisions by the Chief of Staff; coordinate project assignments with other Executive Office personnel; initiate fact-finding investigations for specific information relevant to the needs of the Chief of Staff;
  • Advise the Chief of Staff of existing issues/problems and recommend solutions/alternatives; review current policies and prepare issue paper/white papers; initiate speculative analysis related to impact, which may require external research and reviews;
  • Facilitate the planning and coordination of projects and special assignments required by the Chief of Staff;
  • Consult with external and internal stakeholders to effectively advise the Chief of Staff regarding relevant information; initiate a Business-Cost analysis on decisions impacting Executive Leadership, or business practices of the Executive Office;
  • Assist in the management of special assignments initiated by the Chief of Staff, which may include setting timelines, priorities, impact studies, etc.;
  • Act as a liaison with the various divisions within the SCO seeking the audience of the Chief of Staff; coordinate schedules; develop and maintain effective business relationships with external dignitaries; when instructed, act or respond on behalf of the Chief of Staff;
  • Utilize effective problem-solving skills to resolve issues, differences, or conflicts; use sound judgment in sharing information, or responding to inquiries;
  • Develop briefings and/or summary reports in preparation of meetings, decisions, or analysis under consideration; refine speaking points and data analytics; draft documents or relevant support material;
  • When assigned, participate in internal/external meetings, taskforces, and workgroups; coordinate schedules with constituency groups or other public-sector groups;
  • Travel to assigned locations when instructed by the Chief of Staff; coordinate calendar events; perform ancillary functions that may include tracking appointments, notetaking, meeting coordination, provide backup assistance to the advisors of the State Controller, etc.
