    Inventory & Operations Analyst

    The Inventory & Operations Analyst at Madison Reed is responsible for ensuring the accuracy of inventory records through daily tasks like reviewing available units, tracking inventory movements, aligning kitting with work orders, and analyzing product variance accounts. They focus on optimizing the inventory reconciliation process by identifying automation opportunities, developing necessary reports, recommending process improvements, and enforcing standard operating procedures.

    In addition, the Inventory Operations Analyst supports the month-end close process by reconciling inventory files, validating in-transit inventory, evaluating inventory valuation, and overseeing the annual inventory observation. They provide audit support, collaborate with partners and auditors, establish annual inventory observation policies, and generate inventory-related reports tailored to the requirements of various business partners.     Reporting to the Director of Fulfillment and Logistics, the base salary range for this position is between $60,000-$68,000, and includes travel to our Color Bars, and other events and meetings as needed. At Madison Reed, we aim to pay competitively; factors which may affect starting pay within this range may include geographic location, skills, education, experience, and other qualifications of the successful candidate.

    Responsibilities:

    Ensure accurate inventory records:

    • Review units on hand at 3PL and contract manufacturer locations against our inventory ledger in the ERP system; identify and correct differences.
    • Review receipt uploads and post inventory adjustments.
    • Monitor physical inventory movements / transfer between locations and ensure they are properly reflected in the ERP systems.
    • Review Manufacturing & Assembly Dashboard (CMTA) daily for any errors that may drive inventory variance and work with the Supply Chain Team to reconcile.
    • Reconcile kitting to work orders issued.
    • Review product variance accounts weekly to make sure that all adjustments are posted correctly.
    • Work with the Fulfillment & Logistics team to ensure inventory movements to HCB's are captured and reconciled in ERP.
    • Review damage and shrink activities at the locations for reasonableness; identify and escalate warehouse execution issues to the Director of Fulfillment & Logistics.
    • Aid the Supply Planning team in new item creation in our ERP System (NetSuite), OMS (TopHat), 3rd Party Location systems, and Customer Portals.

    Optimize the inventory reconciliation process:

    • Identify areas for automation, drive and work cross-functionally with the Director of Fulfillment & Logistics, Accounting, Engineering and Data teams to implement.
    • Develop / identify reporting needs from the 3PL and other partners or systems.
    • Make recommendations for process improvement to streamline daily / weekly / monthly activities.
    • Drive process change and work cross-functionally to implement.
    • Develop and maintain the SOP for the consolidated inventory reconciliation process.
    • Regularly evaluate and adapt the inventory reconciliation process for changes and growth in the business.

    Support the month-end close process:

    • Provide timely and accurate month-end inventory file reconciling units in the warehouse / suppliers' locations to the ERP system.
    • Monitor the impact of any timing delays from the contract manufacturer reporting and propose the appropriate adjustment to the inventory balance in the ERP system.
    • Validate the existence and completeness of inventory in-transit.
    • Review inventory valuation for all SKUs in the ERP system to confirm that inventory is appropriately valued.
    • Review the average costs per the ERP system and assess reasonableness to the forecasted planned inventory value.
    • Conduct weekly inventory reconciliation per location to ensure final inventory reconciliation at the end of the month can be finished smoothly within 4 days.

    Lead the execution of the annual inventory observation process:

    • Coordinate with 3PL partners, Contract Manufacturers, and Hair Color Bars, Accounting team and external auditors for annual inventory observation.
    • Perform the inventory roll-back / forward from the observation date to the year end date.
    • Provide audit support by addressing the auditor's questions and provide explanation in a logical and succinct manner with organized back-up documentation.
    • Formalize Madison Reed annual inventory observation policy
    • Provide inventory related reports as requested by other business partners

    Qualifications:

    • 4-6 years of experience in Inventory Control, Inventory Management, Supply Chain Analytics or other related fields.
    • 2-4 years of experience with Netsuite OneWorld Edition.
    • High systems aptitude – quick study in using the ERP system and other system portals including ability to develop / customize reports. Advanced MS Excel Proficiency.
    • Strong analytical and problem solving skills – ability to recognize problems, identify patterns / themes, analyze root-cause, and propose solutions.
    • Self-starter with strong time and project management skills including the ability to multitask and work independently.
    • Highly organized and excellent attention to detail, curious and open to learning.
    • Process oriented mindset – ability to work with and improve the existing structure to achieve higher efficiency and effectiveness over time.
    • Comfortable with ambiguity and rapid change of pace.
    • Ability to collaborate with multiple internal functions including Planning, Supply Chain, Accounting, Finance, Engineering and Digital Product, as well as with external vendors.
    • Strong communication skills – ability to summarize and convey issues in a logical, accurate, timely and concise manner both verbally and in writing.
