    Title: Legal Receptionist

    Location: New York, NY – On site (Fully in Office)

    Salary: $45,000 - $50,000 + OT (Non-Exempt)

    Growing Prestigious Law Firm Seeks Legal Receptionist to join their team


    · Field incoming correspondence through phone & email.

    · Answer all switchboard calls promptly. Take accurate messages and promptly deliver; transfer calls promptly to the appropriate party.

    • Manage an active reception area.
    • Greet clients and visitors and announce them by name to the appropriate personnel.

    · Make sure clients and guests are comfortable and are not waiting too long in the reception area.

    · Maintain accurate daily attendance records for all personnel, including tracking arrival times for all staff members.

    · Maintaining records in Outlook calendar; preparing daily attendance breakdowns by email to Administration; and employing confidentiality regarding personal attendance/vacation/leave information, communicating any requests for PTO.

    • Coordinate all aspects of conference and caucus rooms including managing room meeting schedule, catering, and ensuring room is kept in a tidy manner.
    • Direct messengers and deliveries to the appropriate floor.
    • Champion office catering for events, functions & beverage stations.
    • Report to IT / Technology team for troubleshooting issues & equipment ordering.
    • Report building maintenance issues to Administration for resolution.

    · Regularly assist Administration, Secretaries, Paralegals, Office Services and Library with various projects, upon request. This may include time away from the reception desk.

    Skills & Expectations:

    • Strong written & oral communication skills.
    • Ability to act courteous & showcase a welcoming demeanor.
    • Ability to present yourself in a professional way in accordance with firm policy.
    • Ability to maintain a high level of awareness including a commitment to prompt response of incoming phone & email.
    • Proficiency in Microsoft Office including Outlook, Excel & Word.
    • Must be able to handle confidential information sensitively and discreetly.
    • Ability to work under pressure, to get along with others and to be flexible with hours, vacation schedules and breaks.
