- Assist the estimating department with post-award phases
- Draft purchase orders and subcontracts for estimating team
- Liaise with in-house negotiator and vendor to execute purchase orders and subcontracts
- Problem-solve vendor/subcontractor questions regarding scope, deadlines, and other project details
- Maintain consistent contacts with vendors and clients to ensure successful and continued relationships
- Track submittals, equipment delivery deadlines, pending issues, and budget changes
- Interface with Operations team on design and scope through the buyout process
- Prepare/track the buyout schedule tracking critical and non-critical purchase orders and subcontracts
- Assist with in-house Chief Estimator on contract review and markups
- Organize turnover meetings (scheduling, preparing agendas and related docs)
- Prepares and coordinates the writing of confidential correspondence and/or reports, publications, documents, and presentations. Reviews drafts and assists with editing of documents to ensure a high-quality written product
- Small business liaison - ensures small business requirements are met
- May perform other related duties as assigned
- Minimum of 5years' experience in anadministrative role
- Bachelor's degree preferred
- Excellent written and verbal communication skills with strong attention to detail and accuracy
- High degree of sensitivity for confidentiality
- Task-oriented with an excellent sense of priority, logic and objectivity
- Highly organized and capable of managing multiple priorities
- Independent and self-motivated with the ability to take the initiative to liaise with other departments and/or external sources
- Excellent customer service focus with an ability to work collaboratively with others
- Strong knowledge of MS Office applications, including Word, Excel, Outlook, Adobe, Blue Beam

DESCRIPTION OF DUTIES & SCOPE:
QUALIFICATIONS:
