    Position: Admin Assistant (part-time)

    Location: Herndon, VA (on-site)

    Schedule: Tuesday-Thursday 9 AM - 5 PM ET

    Job Description:

    We are seeking a part-time Admin Assistant to become a part of our team, overseeing office functions and delivering vital administrative assistance. This role requires on-site presence in Herndon, VA, every Tuesday to Thursday, from 9 AM to 5 PM. The Admin Assistant will be responsible for providing administrative support, managing office tasks, and assisting with various departments.     Responsibilities:

    • Maintains organized filing systems for records, documentation, and files.
    • Prepares agenda and collects materials for meetings, speeches, and conferences; takes minutes and keeps records of proceedings as required.
    • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
    • Greet clients, visitors, and guests, determining their purpose and guiding them to the appropriate location.
    • Answer, screen, and direct phone calls, take messages, and schedule meetings.
    • Manages office supplies and coordinates maintenance of office equipment.
    • Receive and distribute mail, documents, packages, and courier deliveries promptly.
    • Responds to and resolves administrative inquiries and questions.
    • Coordinates and schedules travel, meetings, and appointments for managers or supervisors.
    • Maintains the inventory, storage, and distribution of company equipment/assets (i.e., laptops, monitors, etc.).
    • Assists HR with sending out new hire welcome packages and event planning.
    • Supports Recruiting with resume formatting and gathering required candidate paperwork.
    • Aids various departments with marketing materials and social media postings.
    • Updates and sends out our monthly newsletter.
    • Performs other related duties as assigned.

    Qualifications:

    • High school diploma or equivalent required; Associates degree in office administration or related field preferred.
    • 1-3 years of administrative and clerical experience preferred.
    • Ability to type at least 45 words per minute.
    • Exceptional verbal and written communication skills.
    • Strong organizational skills with acute attention to detail.
    • Excellent time management skills with a proven ability to meet deadlines.
    • Proficient with Microsoft Office Suite or related software.

    Physical requirements:

    • Prolonged periods sitting at a desk and working on a computer.
    • Must be able to lift up to 15 pounds at times.
