Summary
The purpose of Executive Assistant position is to provide high-level administrative support to a designed elected official or executive officer.
This includes handling information requests, preparing reports, preparing correspondence, coordinating daily calendars and planning appointments & events, and facilitating internal communications.
Essential Job FunctionsProvides high-level administrative support to the designated elected official or executive officer.
This includes managing and setting priorities related to the executive's calendar and appointments, providing daily agendas and talking points for meetings, screening communications, completing information requests, arranging meetings and travel.
Acts as primary contact for the designated official/executive. Liaisons with department executive, elected officials, and external stakeholders. Uses discretion to screen communication by determining priority and relevance of any requests or information. Receives and distributes information to various departments in the County, fulfilling information requests as needed.Edits, reviews, & finalizes various formal documents and presentations for aesthetics, grammar, and accuracy. Prepares background documents. Summarizes reports and communications for the designated official/executive. Ensures integrity of information. Researches and analyzes routine complex administrative projects.
Reviews and screens communications to designated elected official or executive officer and uses discretion to prioritize matters that require attention.
Administers office services such as purchasing and tracking supplies as well as overseeing the maintenance, storage, fulfilling requests, auditing, and other records management duties and responsibilities.
Reviews various formal presentations, interpreting their focus and ensuring they are aligned with the executive's requirements and goals. Coordinates the production of various reports as needed by the designated official or executive.
Responds independently to correspondence of a routine nature.
Trains and provides back-up for other executive and administrative assistants as needed.
May assist with the procurement process for designated office.
May serve as staff person for County Board or Committee. Duties can include publishing meeting agendas, meeting notices and appropriate documents. Record and publish meeting minutes when necessary.
Attend meetings when appropriate.
Minimum Requirements
Associate degree, preferably in Secretarial Science or Administrative Assistant related field OR sufficient coursework towards a Bachelor's degree in a related field.
