    Description

We seek an individual to join a highly motivated team in selflessly advancing The Association of Former Students' noble mission by mission by coordinating our human resources activities for The Association of Former Students.

    DUTIES

    Facilitates recruitment and departure efforts for all exempt and non-exempt personnel, students and temporary employees.

    • Serves as partner with hiring managers to develop and implement effective sourcing and recruitment strategies.
    • Posts job vacancies in appropriate venues.
    • Processes all new and departing employees and all change of status forms.
    • Reviews and maintains employee handbook.
    • Conducts student new employee orientations.
    • Coordinates departure processes.
    Performs specific tasks in support of Human Resources objectives.
    • Processes confidential matters and either resolves or refers to appropriate personnel.
    • Assists with timesheet and payroll preparation.
    • Processes benefit premiums.
    • Manages the maintenance of current job descriptions.
    • Ensures compliance with I-9 Employment Eligibility verification and periodically audits I-9 forms.
    • Oversees email account.
    Promotes Team Culture.
    • Coordinates employee appreciation, birthday, retirement and holiday events and activities.
    • Assists as needed with planning for quarterly All-Team Meetings.
    Performs duties in support of Manager of Human Resources.
    • Schedules appointments and answers calls, as needed.
    • Proofreads, corrects and produces letters in final form.
    • Answers letters and routes mail.
    • Assists with preparations for board and council meetings, vouchers and other forms.
    • Maintains inventory of department supplies.
    • Processes expense reports and invoices as necessary.
    Promotes proactive approaches using the company's HRIS to solve business needs/problems, while also enhancing the understanding and acceptance of the HRIS capabilities.

    Participates in and provides input on various Association-wide activities:
    • Actively contributes toward efforts to achieve our culture, engagement, and fundraising goals.
    • Provides on-site event support for Board and Leadership Council meetings.
    • Participates on internal event teams and task committees.
    • Participates in Association events, including but not limited to Aggie Muster, Aggie Ring Day, Reunions, Distinguished Alumni Gala, Pass It Back Day, All-Aggie Grad Party, and All-Aggie Hullabaloo, as needed.
    Serves as an ambassador for The Association:
    • Meets our Team Expectations.
    • Supports The Association's marketing, communications, and branding initiatives.
    • Fosters relationships with students, former students, parents, faculty, staff, and friends of Texas A&M.
    • Attends external events on behalf of The Association, as directed.

    Requirements

    KNOWLEDGE, SKILLS & ABILITIES

    Required: Excellent verbal and written communication skills. Excellent interpersonal and customer service skills. Excellent organizational skills and attention to detail. Ability to maintain confidentiality of sensitive information and exercise prudent judgement. Ability to work with diverse population. Working understanding of human resource principles, practices and procedures. Excellent time management skills with a proven ability to meet deadlines. Proficient with Microsoft Office Suite. Ability to use standard office equipment and software. Advanced software skills, including the Microsoft and Google suites, to perform administrative duties as required in maintaining communications, databases and spreadsheets. Prolonged periods of sitting at a desk and working on a computer.

    OTHER REQUIREMENTS

    Strong commitment to the mission and vision of The Association of Former Students, with the ability and desire to advocate for the organization and Texas A&M University. High energy level and intrinsic motivation. Outgoing personality with a positive and friendly attitude. Professional attire and behavior. Texas driver's license and ability to safely operate a motor vehicle. Occasional travel, including irregular hours, overnight stays, weekends, and evenings, in support of Association events.

    EXPERIENCE

    Required: 1-2 years of professional experience with emphasis in Human Resources.

    Preferred: Experience working within the Texas A&M University environment.

    EDUCATION

    Required: Bachelor's degree.

    Preferred: Bachelor's degree from Texas A&M University. PHR, SHRM-CP or similar certification.
