    General Summary

    The US Sr Manager is integral to the delivery of HR programs and services to Oceana staff and managers in the US. This position is engaged in a broad range of HR functions, including, but not limited to hiring and on-boarding new personnel; benefits administration, maintenance of accurate employee data and files, documenting processes and procedures; employee relations, and compliance. The US Sr Manager assists with training and the development of training materials, system implementation, and maintenance. The US Sr Manager is the main point of contact for general HR inquiries for both local and as needed international employees. This position supports the work of the HR Department by providing comprehensive support for day-to-day tasks to ensure that the HR department remains effective and efficient. The US Sr Manager supervises the HR Associate position.

    Principal Duties and Responsibilities Essential Functions:

    Benefits
    1. Manage all US benefit programs from strategy to detailed implementation and administration.
    2. Responsible for ensuring robust communications and learning around benefits is delivered. These programs will assist staff in making the connection between the total rewards program and the employee value proposition.
    3. Coordinate with carriers, brokers, and other partners to deliver a high level of service for plan participants, prioritizing data integrity, and accurate and prompt resolution of services or coverage issues.
    4. Stay abreast of benefit trends, best practice, and market competitiveness. Research and recommend benefit options and implement them appropriately.
    5. Manage the annual open enrollment period by updating the online enrollment system, working with brokers to ensure staff are educated on a plan change and the implication to their coverage decisions, preparing materials for employees, conducting open enrollment training, and arranging on-site representation by broker and carrier representatives.
    6. Manage leaves of absences for FMLA, Short and Long-Term Disability, Worker's Compensation, and any other employment status changes, while providing documentation to Accounting for payroll purposes.
    7. Audit employees information for enrollment in 403 (b) and work closely with retirement plan vendor to resolve 403 (b) contribution issues that may arise.
    Compensation & Performance Review
    1. Assist managers and employees with compensation and pay-related issues to ensure equitable and consistent application of our compensation philosophy.
    2. Manage the US performance review process and ensure all employees receive formal and written annual reviews, while making recommendations for compensation changes where appropriate.
    Hiring & Onboarding
    1. Provide recruitment-related training to hiring managers to include developing staffing strategies to ensure hiring managers conduct a consistent process.
    2. Ensure job descriptions and job announcements follow our recruitment guidelines, to include supporting leaders in attracting a diverse candidate pool.
    3. Support managers and employees through Oceanas onboarding process.
    Systems Processes and Data Management
    1. Work with the Director of HR Operations to continually improve and develop systems, processes, and procedures to streamline and increase efficiency.
    2. Maintain benefits and payroll data integrity in the systems by running reports, analyzing data, creating, and running various reconciliations.
    3. Ensure the ADP Workforce Now database accurately reflects all staff enrollments and changes in all benefit plans. Expertise with HCMs is required, experience with ADP is a plus.
    Training & Events
    1. Parter in the delivery of organizational training and development efforts.
    2. Assist with training logistics as needed.
    3. Design, schedule, and carry out morale-building and educational events for employees.
    Payroll & Timekeeping
    1. Has oversight and responsibility in partnership with the HR team, IT team and accounting for all aspects of payroll processing for the US.
    2. Partner with Accounting to ensure payroll needs are met. This includes time tracking, payroll changes, compensation, and benefits issues, and conducting audits as needed.
    3. Review payroll paperwork to ensure changes in pay, benefits deductions, new hires, terminations, and all payroll related issues are processed as requested.
    Compliance
    1. Work in partnership with the Senior Global HR Director and outside counsel to understand the implications of employment law and legal impact on HR decision making, management of risk, and ensuring regulatory compliance.
    2. Responsible for the EEOC filing, ACA, and other federal and state legal required reports.
    3. Ensure compliance with Federal, State, and Local Laws and regulations.
    Employee Relations
    1. Investigate, and resolve the day-to-day personnel issues and/or complaints.
    2. Advise executives and managers on human resources issues for all levels of employees throughout the organization.
    3. Conduct exit interviews, disciplinary meetings, and confidential investigations as needed.
    Job Requirements

    Education and work experience:
    1. Bachelors degree in human resources, business, or related field and eight (8) years experience in Human Resources, or equivalent combination of education and experience.
    2. HR generalist experience in a multinational mission-driven organization, with deep expertise in US employment law, compliance, and best practice.
    3. PHR and CEBS certification is a plus.
    Skills and knowledge:
    • Knowledge of human resource laws, regulations, and best practices is a plus.
    • Experience training and helping others apply organizational policies, procedures, and guidelines.
    • Demonstrated results in expanding a culture of diversity, equity, and inclusion.
    • Able to lead and influence without supervisory authority.
    • Critical thinking skills with the ability to identify and understand issues, root causes, and opportunities from disparate sets of information and provide clear conclusions and guidance.
    • Strong project management skills: task oriented with the ability to identify and resolve issues.
    • Proficiency in Microsoft Office Suite; familiarity with ADP (preferred) or related software.
    • Highly proficient in both spoken and written English in required.

      Oceana's US offices have operated on a hybrid schedule and staff have been required to work from their assigned office on Tuesday, Wednesday, and Thursday. With agreement between the employee and their supervisor, the employee may work from home Monday and Friday.
