- Act as the primary liaison for the Board of Directors, facilitating communication and coordination of activities.
- Foster and maintain robust relationships with stakeholders, managing RSVPs and preparing materials for meetings and presentations.
- Coordinate board meetings, including preparation of agendas, and dissemination of materials to ensure all members are well-informed and prepared.
- Attend Board meetings and record meeting minutes that will need to be finalized and distributed as required.
- Provide executive support with administrative tasks, including adeptly managing financial forms and contracts, and organizing filing systems.
- Efficiently manage the CEO's calendar, scheduling appointments, coordinating meetings, and hosting guests.
- Craft professional correspondence, briefings, and documents.
- Assist with projects and activities that are under the leadership of the CEO, coordinating and collaborating with staff, scholars, and external constituencies as necessary.
- Manage phone calls and emails as assigned.
- Various duties as assigned as part of the CEO office team.
- Minimum of a Bachelor's Degree in Business, Political Science, Communications, Public Relations or other relevant field and work experience in a similar field.
- At least 2-3 years of professional experience supporting leaders and board members.
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Energy, initiative, independence, and the ability to adapt in a fast-paced professional environment.
- Proven writing skills, and strong research and communication skills, including social media proficiency.
- Proven people skills and the ability to work with a diverse range of individuals at various levels within and outside of the Institute.

Position Overview:
Reporting directly to the President and CEO, the Executive Assistant and Board Secretary play a multifaceted role in providing executive support to the CEO while also serving as the primary liaison for board-related matters. This position involves managing administrative tasks, facilitating communication between the CEO's office and internal and external constituencies, and ensuring the smooth functioning of meetings and activities.
