    Job Summary:
    The Management Support Services team of the Arizona State Retirement System (ASRS) is seeking an exceptionally organized and detail-oriented Administrative Specialist to join their team. The chosen candidate will be responsible for handling daily administrative tasks, providing support to senior management, and ensuring the smooth operation of the organization. The ideal applicant should be proactive, comfortable working independently, and proficient at managing multiple tasks simultaneously. Responsibilities of this role include:
    • Supporting senior and executive management as well as the Board of Trustees
    • Planning, facilitating, and documenting board and committee meetings
    • Coordinating travel arrangements for agency staff and executives
    • Engaging in project management and research tasks
    The selected candidate will act as a key support resource for the director, COO, CIO, assistant directors, and assistant attorney general. Working alongside the Management Support Services team, the individual will collaborate on projects and be expected to handle problem-solving with tact and flexibility.
    This position may allow for remote work within Arizona, depending on the department's requirements and meeting performance expectations.

All work, inclusive of remote tasks, is to be conducted within Arizona unless authorized otherwise.
    Job Duties:
    • Significant involvement in Board of Trustee and Committee meetings
    • Providing administrative and problem-solving support to senior management
    • Creating and maintaining written documents for various projects and meetings
    • Coordinating communication between different levels of the organization
    Knowledge, Skills & Abilities (KSAs):
    • Minimum three years of administrative experience
    • Experience handling high-level meetings and documentation
    • Proficiency in Microsoft Office and Adobe Acrobat Pro
    • Strong organizational and time management skills
    • Ability to maintain confidentiality and handle communication effectively
    • Knowledge of open meeting laws and compliance requirements
    • Excellent written and verbal communication skills
    • Professional demeanor and problem-solving abilities
    Selective Preference(s):
    • Completion of a relevant program at a community college or vocational institution
    • Knowledge of pensions and investments
    Pre-Employment Requirements:
    Candidates selected for the role will undergo a background check encompassing credit and criminal history. Additionally, new State employees must complete the Electronic Employment Eligibility Verification Program (E-Verify).
