    Role Description

    This is a full-time on-site role for an Office Manager at Vista Construction & Remodeling, LLC located in Miami, FL.

    As our Office Manager, you will be the cornerstone of our administrative operations, responsible for overseeing day-to-day tasks that keep our office running smoothly. Your role will encompass a broad spectrum of responsibilities, ranging from managing administrative duties to providing exceptional customer service and ensuring the seamless operation of our construction projects. With a focus on maintaining our company's luxurious culture and delivering unparalleled service, you will play a pivotal role in upholding our reputation for excellence.

    Your primary responsibilities will include permit coordination, payment collection, and overseeing office equipment. Proficiency in essential software tools such as QuickBooks for invoicing, budget management, and payment plan coordination will be crucial for success in this role. Additionally, your adeptness in calendar management and office bookkeeping will contribute significantly to the efficiency of our operations.

    Qualifications:

    • Strong communication and customer service skills, with the ability to interact effectively with clients and stakeholders.
    • Demonstrated experience in administrative assistance and office administration, with a keen understanding of office procedures and protocols.
    • Familiarity with office equipment and technology, including printers, copiers, and computer systems.
    • Excellent organizational and multitasking abilities, capable of managing multiple tasks and priorities efficiently.
    • Attention to detail and strong problem-solving skills, ensuring accuracy and thoroughness in all tasks.
    • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
    • Ability to work well under pressure and meet deadlines in a fast-paced environment.
    • Experience in the construction or remodeling industry is a plus, but not required.

    Location: Doral, FL

    Responsibilities:

    • Manage administrative tasks related to construction projects, such as permit acquisition and payment collection, ensuring accuracy and timeliness.
    • Uphold the company's luxury culture and maintain the highest standards of customer service in all interactions with clients.
    • Utilize QuickBooks proficiently for invoicing and budget coordination, ensuring financial transparency and efficiency.
    • Coordinate payment plans and ensure the timely collection of payments, maintaining positive client relationships.
    • Efficiently manage calendars and schedules to optimize project timelines and resource allocation.
    • Maintain accurate records of office transactions and financial activities, adhering to company policies and procedures.
    • Demonstrate professionalism and etiquette when communicating with clients via phone and email, representing the company in a positive light.

    Benefits:

    • Paid Holidays
    • 40 hours of sick time
    • 1 week of paid vacation during summer and winter
    • Base pay: $57,000 with commission pay
